Students and alumni see themselves as part of a lifelong Caltech community. The Alumni Relations team exists to help engage Caltech alumni in lifelong relationships with Caltech and with each other. Reporting to the Associate Director of Alumni Relations, Communications, the Communications Coordinator will be responsible for providing marketing communications support to strengthen and build a broadly and deeply connected alumni community. Responsibilities will include, but are not limited to:
Provide marketing and communications support to promote the programs of the Caltech Alumni Association/Office of Alumni Relations, driving increased attendance and participation for its events and offerings.
Create and distribute regional event invitations and communications in partnership with colleagues and volunteers.
Develop compelling marketing collateral.
Coordinate the digital engagement of Alumni Relations on the web and in social media, fostering open communication with alumni. The successful candidate will be a collaborator and a team player who is also able to work independently as a self-starter to develop and execute projects from inception to completion. S/he will be a communications professional who is able to embrace and thrive within a fast-paced environment where creativity, initiative, nimbleness, flexibility and strong project management skills are vital.
Job Duties: Program Marketing and Communications Support Create and execute marketing and communications to promote and drive participation in and awareness of alumni relations events and programs. Design and distribute e-communications such as invitations, announcements, and newsletters. Assess, write copy, proof, and deploy event communications across multiple platforms. Support registration website for reunions and events. Maintain, update and generate email distribution lists. Serve as communications lead for online alumni directory including conducting regular campaigns and outreach to update contact information. Produce advertisements, marketing material, and event collateral such as signage and program guides. Research and develop collateral (ex. videos and slide shows) for Alumni House and event digital signagecreatively feature alumni news, traditions, and history. Source and generate content for alumni stories. Post content and create pages for alumni website. Produce videos, shorts, slideshows. Produce targeted mailing lists and fulfill research requests. Staff a variety of alumni events such as Reunion Weekend which take place on weekends or evenings. Contribute to a warm and welcoming experience for alumni and guests. Monitor local, regional and global news, particularly in science, innovation and technology to identify areas where Caltech alumni might be connected. Edit and proof marketing materials. Other duties and special projects as assigned.Project and Traffic Management Act as a communications traffic manager, helping to execute individual marketing plans for specific programs, moving them from initial scheduling through conceptualization, execution, and archiving. Work with alumni volunteers throughout the nation to assist them in promoting their events. Manage and update all event content for alumni.caltech.edu. Manage the photo and social media archives for all events and communications projects. Work with outside vendors including writers and designers to solicit bids, track project completion, and billing. Track and analyze communications metrics and make recommendations for program improvement.Online Community Engagement Monitor and manage social media streams including but not limited to: Facebook, Twitter, Instagram, and Snapchat. Through these streams, develop a deep understanding of the Caltech alumni community and be the champion for this audience. Tailor news and announcements for each stream. Help to identify key influencers and cultivate them. Solicit class notes, market and support interactive discussion forums. Support technical aspects of webinars, podcasts, live streaming, AMAs.
Basic Qualifications: BS degree or equivalent in communications or a related field plus five years of related experience. Strong project management and consultative skills, including the ability to work independently and collaboratively, manage multiple projects, and prioritize based on business impact. Ability to organize/prioritize work and meet deadlines within a fast paced environment with multiple and competing demands. Fluency with web-based communication and management tools essential (i.e. Squarespace, Mailchimp, Eventbrite, Adobe Illustrator, Go to Meeting, Hootsuite, etc.) Ability to quickly learn new tools a must. Ability to work with flexibility, efficiency, enthusiasm, and diplomacy both individually and as part of a complex team; adept at dealing with ambiguity and a changing work environment. Demonstrated initiative to seek and propose solutions with a positive attitude and commitment to continual improvement. A commitment to diversity and inclusion of varying views, including the ability to interface with people at all levels within the organization. Capacity to convey passion for and impact of Caltech and Caltech alumni. Ability to travel and to work occasionally on weekends and evenings. Strong organizational and time management skills.
Expertise in Squarespace and Mailchimp. Experience in a higher-education or non-prot setting. Knowledge of Caltech. Curiosity and interest in STEM and its global as well as societal impact. Experience with digital storytelling. Skilled in web publishing and web distribution of video/audio content.
