Job Requisition Number: 23824. The Department of Sociology is a large, dynamic and diverse academic department, known around the world for its excellence in research and teaching. For the past six decades, we have been ranked consistently among the world’s top sociology departments, and for over a decade, we have been ranked #1 in the U.S. News and World Report rankings. The department consists of 27 tenure-track faculty, 16 career staff, 14 teaching faculty, 18 visiting scholars, and approximately 160 ASE appointments annually. We have 575 undergraduate majors, 140 Ph.D. students and our classes enroll over 8000 domestic and international students a year.
Seeking a committed, high-performing advising professional for the role of Graduate Admissions and Curriculum Advisor. The role provides a wide range of student services support for the department in the areas of recruitment and admissions, funding and ASE hiring, teaching curriculum and budget, academic student advising, alumni outreach and faculty support. Event coordination and presentation skills are also essential aspects of the position.
Outreach, Recruitment and Admissions Advising: •Develops, implements and improves programs for graduate student outreach, recruitment, admissions and funding support for the Department of Sociology. •Working closely with the Graduate Diversity Office, plans and implements outreach programs; advises prospective applicants on necessary academic preparation. •Manages all administrative and financial aspects of graduate admissions for approximately 400 applicants annually; coordinates the university fellowship nomination process. •Plans, evaluates, and manages events to enhance recruitment and yield, including Recruitment Weekend. •Evaluates effectiveness of recruitment programs and provides suggestions for effective and cost-saving alternatives. •Uses professional judgment when reviewing complex or unusual applications for admission, knowing when to escalate an issue and when to act independently. •Advises admissions committee regarding trends in annual tuition increases and funds availability.
Funding and ASE Hiring: •In coordination with Director of Student Services and Graduate Advisor, oversees the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards pertaining to the Department of Sociology. •Creates and maintains complex spreadsheets to project and track the funding, including the departmental multi-year fellowship award packages. •Advises students and colleagues concerning campus and extra-mural financial aid options, fellowship opportunities, and academic student employment as GSIs, GSRs and/or readers. •Maintains departmental wordpress blog on extra-mural funding opportunities. •Assists in troubleshooting financial aid and student systems fund management problems, including issues with SIS/CS, EFT, and registration blocks. •Develops processes for equitable assignment of ASEs, GSIs and/or Readers; advises ASEs and instructors on job expectations and workload issues; oversees creation and submission of reader time-sheets. •Hires ASEs via the Campus Shared Services Smartsheet and acts as liaison to Campus Shared Services HR and payroll staff.
Curriculum and Back Up Scheduling: •Collaborates on curriculum planning with Director of Student Services, Curriculum Planner and faculty committee to ensure students' progress through course sequences, avoiding conflicts, and ensuring compliance with campus-wide policies. •Assists in coordination of lecturer application process and hiring procedures. •Maintains teaching budget spreadsheet throughout the planning process and budget reconciliation. •Works closely with Curriculum Planner to schedule graduate and, as needed, undergraduate courses; acts as back up scheduler. •Assists with enrollment management at graduate level, and as needed undergraduate courses, including visiting students, and student initiated courses (e.g. independent study, field, study, honors program). •Submits any necessary course changes and additions to the Course Management System (CMS), working directly with the Committee on Instruction and Courses (COCI). •Assists with grade reporting, final exam coordination, and processing of course evaluations.
Academic Advising and Alumni Outreach: •In collaboration with Graduate Academic Advisor, provides advising and referrals to students and faculty on a variety of areas, including academic requirements, registration/enrollment, funding, administrative issues, students’ personal issues, withdrawal and readmission, and graduation. •Advises graduate students, faculty, and departmental colleagues on Graduate Division, Registrar, Financial Aid and university policies and procedures and their effects on students. •Develops an alumni recruitment network. Supports the departmental communications strategy for alumni relations, including outreach via social media. •Acts as liaison to development offices in Graduate Division and the College of Letters and Science. •Maintains extensive alumni student webpages, listserv and FMPro database. •Maintains an annual survey and webpage for graduate students on the job market. •Collaborates with Student Services team and departmental staff on an as needed basis.
Events/Workshops/Presentations: •Plans and implements complex, high-visibility student events, such as diversity outreach tabling, new student orientation, admissions committee meetings, graduate student forums or townhalls, and commencement and graduate commencement reception. •Plans, designs, and provides workshops for prospective or current students on information about the campus, funding or academic and enrichment programs.
Professional Development: •May supervise student workers and/or delegate to professional staff colleagues. •Attends campus-wide graduate advising (GSAO) meetings, and tracks and reports back to the department about any changes related to graduate affairs. •In consultation with Director of Student Services, identifies and implements annual professional development goals. Examples might include special projects, or participation in professional associations, special task forces, training classes, or campus committees and conferences.Knowledge/Skills: •Working knowledge of advising and counseling techniques, with academic advising experience at the graduate level preferred •Ability to interpret and convey policies and procedures to prospective, matriculated and graduated students, faculty, staff and the public. Ability to keep track of and communicate about multiple programs. •Exceptional interpersonal skills, including demonstrated experience in multicultural competencies, and ability to work collaboratively with other individuals or in teams; highly developed oral and written communication skills. •Ability to correctly identify problems and to develop and implement original ideas for solving them. Possesses good judgment and can assess and handle non-routine situations while minimizing disruption to general work flow. •Thorough knowledge and experience working with a diverse student population. Understanding of and commitment to strategies to increase student diversity. •Exceptional computer skills, including strong knowledge of MS Office Suite (Excel, Word, Access, PowerPoint), Drupal, FileMakerPro and database technology. •Excellent comfort and proficiency with new technology and ability to teach others to use it. •Strong attention to detail and commitment to accuracy. •Organized and service oriented, with ability to remain courteous at all times, and to serve diverse populations with care and sensitivity. •Skills in project management. Able to work independently and effectively to manage multiple important priorities. •Ability to exercise consummate discretion regarding management of confidential student records and privileged information within the department.
