Reporting to the Senior Director of Student Academic Services, the Educational Opportunity Program Admissions/Academy Coordinator is responsible for coordinating and providing support to facilitate the Educational Opportunity Program (EOP) admissions process for first-time freshman (FTF) and transfer students. The incumbent also coordinates the EOP Academy, working as a team member with fellow EOP advisors and staff to provide student services to EOP students and, as appropriate, EOP alumni, applicants and prospective applicants not yet attending the University.
Under general supervision, major duties of the position include, but are not limited to, the following:
EOP Admissions Coordinator Coordinate the EOP application process for incoming FTF and transfer students. Communicate with prospective EOP eligible-students, parents and community through appointment, telephone, email and other materials. Review, sort, and rank all EOP applicants. Conduct outreach to EOP applicants to follow up regarding incomplete applications and missing reference letters. Compile application data from PeopleSoft with the assistance of the Common Management Systems (CMS) team. Consistently conduct follow-up monthly, at minimum, with all applicants to ensure successful matriculation. Serve as EOP's liaison to the Admissions and Financial Aid Departments. Send acceptance, waitlisted and rejection letters to all EOP applicants.
EOP Academy Coordinator Coordinate the EOP Academy for EOP FTF with faculty colleagues to provide appropriate coursework for students for fall and spring semesters. Collaborate with Academic Affairs and Academic Departments to reserve seats within EOP Academy course sections for FTF and continuing EOP students. Partner with the University Registrar to facilitate the registration of Summer Bridge participants into their fall EOP Academy courses. Responsible for developing and assigning EOP Academy placement and block of EOP Academy classes for all EOP FTF for Summer Bridge. Work in partnership with Housing to ensure marketing materials include EOP Academy and guidelines around appropriate housing for EOP FTF. Serve as a liaison to the Transition and Transfer Program to facilitate and coordinate the hiring of University Studies 102 – First Year Experience faculty for EOP Academy and coordinate efforts for EOP Academy within Freshmen Learning Courses. Serve as a liaison to TRiO programs to provide supplemental instruction and academic support services to students within EOP Academy. Responsible for working with the Senior Director of Student Academic Services to support the hiring and selection of Master Tutor for the United for Success supplemental instruction section and thereafter maintaining regular communication with Master Tutor and United for Success Writing Specialist to support supplemental instruction section. Plan and implement EOP Academy faculty gatherings to connect regarding EOP students of concern, meeting EOP Academy goals and objectives, and supporting faculty and EOP Advisors. Communicate regularly with EOP Academy faculty to share EOP news and updates.
Responsible for updating all EOP electronic media including the EOP website and all EOP social media platforms.
Performs other secondary duties as assigned.
Duties take place primarily in an office setting located in Salazar Hall at Sonoma State University, however may include working indoors and outdoors when necessary to support events and other campus activities. The normal work schedule is Monday through Friday aligned with regular campus hours. As an exempt employee you have some flexibility in your schedule however must be available during the regular campus hours Monday through Friday to meet the operational needs of the campus and department. Your specific start time is determined by your Appropriate Administrator. Evening and weekend hours may be required and will be specified only by the supervisor to meet operational needs. The incumbent must maintain regular and acceptable attendance at such levels as is determined by the Appropriate Administrator. The position may require occasional travel, by automobile and airplane, and the incumbent must be able to work some night and weekend hours with overnight stays.
