The Alumni Relations team exists to help engage Caltech alumni in lifelong relationships with Caltech and with each other. Reporting to the Associate Director of Alumni Relations, Communications & Marketing, the Communications Coordinator will be responsible for providing marketing communications support to strengthen and build a broadly and deeply connected alumni community.
Responsibilities will include, but are not limited to:
- Provide communications and design support to promote the programs of the Caltech Alumni Association/Office of Alumni Relations. Help develop compelling marketing materials with the goal of increasing participation in, and awareness of, Alumni Relations events and programs - Provide logistical and administrative support for events and programs. Distribute event invitations and communications in partnership with colleagues and volunteers - Tell engaging stories on digital and social media, fostering open communication with alumni.
The successful candidate will be a collaborator and a team player who is also able to work independently to develop and execute projects from inception to completion. S/he will be a communications professional who is able to embrace and thrive within a fast-paced environment where creativity, initiative, nimbleness, flexibility and strong project management skills are vital.
Job Duties Communications and Design Support - Create marketing and communications materials to promote Alumni Relations events and programs - Write, edit, and proof communications and marketing materials - Design electronic communications such as invitations, announcements, and newsletters - Produce advertisements, marketing material, and event collateral such as signage and program guides - Monitor local, regional, and global news, particularly in science, innovation and technology to identify areas where Caltech alumni might be connected - Distribute electronic communications and marketing materials across a variety of platforms - Provide logistical and administrative support for Alumni Relations programs and events - Serve as communications lead for online alumni directory including conducting regular campaigns and outreach to update contact information - Generate, maintain, and update email distribution and mailing lists - Produce targeted mailing lists and fulfill research requests - Support registration website for reunions and events - Research and develop collateral (ex. videos, slide shows, signage) for Alumni Relations eventscreatively feature alumni news, traditions, and history - Staff a variety of alumni events, such as Reunion Weekend, which may take place on evenings and weekends - Contribute to a warm and welcoming experience for alumni and guests - Work with alumni volunteers throughout the nation to assist them in promoting their events - Manage and update all event content for alumni.caltech.edu - Tell alumni stories on website and digital media - Source and generate content for alumni stories - Post content and create pages for alumni website - Produce short videos and slideshows - Other duties and special projects as assigned
Project and Traffic Management - Act as a communications traffic manager, helping to execute individual marketing plans for specific programs, moving them from initial scheduling through conceptualization, execution, and archiving - Work with outside vendors including writers and designers to solicit bids, track project completion, and billing - Manage the photo, video, and social media archives for all events and communications projects. - Track and analyze communications metrics and make recommendations for program improvement.
Online Community Engagement - Monitor and manage social media streams including, but not limited to: Facebook, Twitter, Instagram, and LinkedIn. Through these streams, develop a deep understanding of the Caltech alumni community and be the champion for this audience - Tailor news and announcements for each stream - Help to identify key influencers and cultivate them - Solicit class notes. Market and support interactive discussion forums - Support technical aspects of webinars, podcasts, live streaming, and AMAs. Basic Qualifications - BS degree or equivalent in communications or a related field, plus 5 years of related experience - Excellent writing and communications skills - Strong organizational and time management skills - Strong project management skills, including the ability to work independently and collaboratively, manage multiple projects, and prioritize based on business impact. Ability to organize and prioritize work and meet deadlines within a fast-paced environment with multiple and competing demands - Fluency with web-based communication and management tools is essential (i.e. Squarespace, Mailchimp, Eventbrite, Go to Meeting, Hootsuite, etc.) - Experience using writing, editing, and design software in a business setting is also required (Word, PowerPoint, InDesign, Photoshop, etc.). Ability to quickly learn new tools is a must - Experience using social media platforms including: Facebook, Twitter, and Instagram, ideally in a professional setting - Ability to conduct data entry and update mailing, invitation, and distribution lists - Ability to work with flexibility, efficiency, enthusiasm, and diplomacy both individually and as part of a complex team - A problem solver. Ability to think outside the box and propose solutions - Capacity to convey passion for, and impact of, Caltech and Caltech alumni - Ability to travel and to work occasionally on weekends and evenings Preferred Qualifications - Skilled in web publishing - Experience with digital storytelling. Running an organization's social media stream or creating video content for digital distribution is a plus - Expertise in Squarespace and Mailchimp - Proficiency using InDesign and Photoshop - Curiosity and interest in STEM and its global as well as societal impact - Experience in a higher-education or non-pro?t setting - Knowledge of Caltech
