Job Requisition Number: 24224. The Department of Civil and Environmental Engineering (CEE) is a complex academic department within the College of Engineering. The Department is composed of 7 graduate programs: Structural Engineering, Mechanics and Materials; Environmental Engineering; Transportation Engineering; Engineering and Project Management; Geosystems; Systems Engineering; and Energy, Civil Infrastructure and Climate.
The Department is composed of approximately 40 regular faculty, 3 Professors of the Graduate School, 25 Emeriti faculty, 1 Professor-in-Residence, 6 adjunct faculty, 30 Lecturers, 80 visiting scholars, post-docs and students, and more than 350 undergraduate and 480 graduate students.

This position is designed to provide a high-level of comprehensive support to Master’s students and outreach to potential donors, distinguished alumni, and alumni in general, including but not limited to: social media communications and event support.
The incumbent will report to the Chair’s Assistant/Communications Coordinator. Assignments will come from the Chair’s Assistant, Department Chair, Director of Operations and/or Vice Chair for Academic Affairs.
60% Under general supervision, organize functions supporting career placement opportunities for CEE Master of Science degree students including scheduling info-session and industry meetings with MS students, career fair activities, and alumni/student events.
In collaboration with the Department Chair and the Vice Chair for Academic Affairs, and/or the CEE Academy of Distinguished Alumni and/or the CEE Outreach & Enrollment Committee, implements a variety of departmental, alumni, and student-related programs and events designed to engage alumni/potential donors and current/prospective students.
Assists with annual Academy of Distinguished Alumni banquet including logistical arrangements, catering, parking, entertainment, audio-visual, registration and participant list, sponsorship solicitation, program creation, and communications related to the event.
15% Coordinate semi-annual department distinguished lectures, semi-annual Advisory Council meetings, departmental faculty meetings and department faculty and staff lunch meetings, as well as ad hoc department events as needed. Make arrangements for logistics, catering, publicity, AV, recording of minutes, and overseeing the set up and break down of events.
15% Assist with special projects including the creation of ad-hoc reports and data collection. This will include assembling materials (both hardcopy and online), data collection, and providing logistical support for the on-site visit connected with the department’s 2018 ABET accreditation review in Fall 2018.
Serve as back-up support for a variety of administrative tasks such as shipping and receiving, purchasing, generating monthly faculty financial reports, GPA calculations, student event coordination, parking pass distribution, and acting as copier repair liaison. Perform other duties as assigned.
10% Supervise, mentor, develop and schedule student administrative staff to aid in event planning and other administrative functions as needed. The department’s student assistants provide front-line customer service in directing visitors, answering routine inquires (by phone, internet, or in person), providing logistical support, distributing mail and running errands. Incumbent oversees student assistants, troubleshooting problems when necessary.*Knowledge of basic concepts and principles of building and maintaining effective relations with a variety of constituencies. *Organizational skills including skill to meet prescribed deadlines; event planning skills.
