Job Summary: The Engagement Coordinator is responsible for creatively leveraging the missions of BGCE through branding and marketing in order to educate and engage the community at large, in addition to managing the 900+ volunteer relationships and ensuring a value-added experience. The key role for coordinating the volunteer program is to ensure that all volunteers play a valued part within the organization in a fulfilling and meaningful for both them and the club. The key role for coordinating the club's marketing efforts is to ensure that the mission (values, programs, donors, partners, members, parents, and staff)are highlighted and promoted using the highest standards and through various marketing methods.
Other duties include support on special events, Benevon, operations & programming, and other resource development tasks as they may arise.
Create and implement a process for recruiting, orientating, training, recognizing and evaluating individual volunteers that supports an optimal club experience for members.
Ensure regular background checks are performed on individual volunteers
Ensure orientations are performed for all volunteers.
Update and ensure accountability for the volunteer manual
Accurately track volunteer contact information, demographics and service hours
Acknowledge volunteers for their work by sending thank you cards, pictures and recognition on social media
Ensure volunteers are properly engaged and feel comfortable in the club setting (including working with staff)
Create job descriptions and expectations for volunteers to review with them and get signatures
Ensure ideal placement in program areas and or location (Clubhouse/site)
Ensure members are exposed to a variety of careers by recruiting, scheduling and properly organizing local business owners or professionals to volunteer their time and share their story.
Similar to above, recruit and schedule volunteers with specific talents to come in and expose members to different things (i.e. knitting, photography, music-mixing, singing, dance)
Develop a recruitment and support strategy for mentors
Recruit mentors for members that results in a long term relationship between adult and club member
Track deliverables for members with mentors (grades, absenteeism, reading, math, behavior, etc...
Communication & Outreach
Provide outreach and recruit new partners for the organization through public speaking, website, social media, and special mailings
Communicate volunteer opportunities to the public, colleges, businesses, etc.
Send monthly newsletter to volunteers highlighting upcoming opportunities, fun stories, volunteer highlight, etc.
Develop an annual solicitation presentation; utilize video content and creative ideas to set the organization apart from other nonprofits.
Establish, clarify, and communicate expectations of volunteer experience(s) and share with appropriate team members effectively
Marketing & Stewardship
Manage and maintain the annual Resource Development Marketing and Stewardship Plans as laid out by the Chief Sustainability Officer (CSO).Â Including but not limited to: direct mail, acknowledgement letters, social media, annual report, newsletter, e-news and website
Utilize and master programs and apps such as Mail Chimp, Canva, Powtoon, Powerpoint, Word, Excel, DropBox
Collect and update information from donors to keep in database (address reports from bulk mailings, etc)
Make notes in the tracking software of events, information about our partners and duties performed
Provide outreach and engage new partners for the organization through website, social media, and special mailings
Be available to take on additional marketing projects that align with the goal of leveraging the clubâ€™s mission as deemed necessary by the CSO.
Coordinating marketing efforts include daily social media post.
Manage the marketing aspects of special events under the advisement of the CSO (including: event invitations, sponsorship marketing, appeal videos, social media posts, event programs, etc
Cultivate, manage and steward relationships with vendors used for marketing purposes (printers, creative directors, etc)
Assist with individual giving events and development functions that involve marketing and stewardship as directed by the CSO
May be asked to play a role in regular point of entry tours
Pull monthly email reports from Bloomerang to update email addresses from POE attendees into Mailchimp
Regular upkeep of Donor Management tracking system (Bloomerang); including the utilization of the task feature when needed
Create and maintain a monthly report/update that outlines progress towards goals and turn in to the CSO
Collaborate with the RD team on a monthly basis to ensure project calendars and timelines are being met and fundraising goals are on track to being reached
Utilize Outlook Calendar for tracking meetings and communication with other team members
Must be energetic, passionate & engaged
year degree preferred, at least 2 years experience with marketing and graphic design and 1 year experience in community relations.
Excellent administrative abilities
Outstanding interpersonal skills with the ability to communicate effectively, sensitively, and compassionately
Volunteer experience desired, particular in recruitment, training, and supervision of volunteers
