The Advancement Office works closely with the head of school on various collaborative projects, as well as with faculty and administrators throughout the school. Also, to provide support to all positions in the Advancement Office and complete multiple database and administrative projects for Advancement Office, reporting directly to the Chief Advancement Officer and managed by the Advancement Services Manager.
In consultation with the Advancement Services Manager, plans, organizes, completes and tracks progress of a variety of assigned Tower Hill School projects simultaneously and within stringent deadlines. This includes, but is not limited to:
Support the Advancement Office needs including greeting guests; phone coverage; mail responsibilities including pick up/drop off; website and social media updates; inventory and ordering of supplies; creating and maintaining donor files with copies of correspondence in hard file for $1,000+ donors and Raiser’s Edge file as appropriate; communications binder updates; fulfillment of mailings; copying all donations, logging into spreadsheet and saving in binder; Advancement Committee and Alumni Council meeting needs; schedule and coordinate internal and external meetings.
Support for all Advancement Office events including Annual Fund, Alumni Receptions, Homecoming, Reunions, Senior Dinner, Grandparents’ Day, Donor Stewardship events, Trustee Meetings, and Golf Outing. This involves producing electronic/paper invitations and letters; process and mail on schedule; track, manage and distribute RSVP lists; packet preparation; reservations and other event needs such as name tags, flowers; assist with online registration/social media updates; follow-up communications; attendance as necessary. Responsible for producing event flow and guest list prior to each event.
Primary contact for social media needs and website updates including liaison with the Communications team for graphics and news alerts to add to the Alumni webpage, Facebook posts on the Alumni Facebook page including “throwback Thursday” posts and weekly Facebook reports to the team, and additional social media interaction as required.
Generate and coordinate Advancement Office communications through Constant Contact, including but not limited to event invitations, alumni updates, and solicitations. Collaborate with Advancement Services Manager to prepare, manage and update email lists. Collaborate with Communications team to ensure all communications follow the THS brand style guide.
Generate and produce personalized and merged documents incorporating Raiser’s Edge data including honor/memorial notecards, new baby congratulations packets, labels, envelopes, invitations, capital campaign and homecoming/reunion letters.
Assist in the update and maintenance of the Raiser’s Edge database and TowerNet. Projects include checking obituaries daily in local newspaper; updating constituent and donor records from news alerts, emails from alumni and class notes; profile updates to and from TowerNet; tracking and updating event attendees; weekly Weathervane email to Grandparents; return mail processing and follow-up with constituents; assisting with school-year changeover of constituents as well as other large-scale data entry projects. Run queries and lists as needed to support Advancement Services Manager.
Support the Director of Alumni Relations with the production of the monthly e-newsletter, “The Lookout”, including setting deadlines for information, organizing into one document, checking names and class years, adding to notes tab in Raiser’s Edge, sharing document with team for comments and production coordination with the Communications Department and Head of School. Also includes preparing the Class Notes and Births, Deaths, Weddings sections for the annual “Bulletin” magazine.
Primary coordinator for Head of School’s monthly donor dinners. Manage master list of invitees, invitations, follow-up calls/emails, prepare research documents for Head of School prior to each dinner, and set-up of Hayward House table for each event.
Manage the mailing process schedule and complete the mailings including proofing, obtaining signatures, copying, filing, stuffing, sealing and mailing.
Produce purchase orders/reimbursements and follow-up as necessary with Business Office.
Manage department calendar and schedule meetings and events as needed.
Develop, manage and meet all assigned project timetables/deadlines.
Performs other duties as assigned.
Bachelor’s degree is preferred. Additional workshops, certificate programs in area of relational database software principles and operations would be helpful.
Minimum of three years of administrative experience and recent database experience, preferably Blackbaud’s Raiser’s Edge, in a development office environment.
Two years of relevant workplace experience is necessary, preferably in a non-profit organization.
An equivalent combination of education and experience may be substituted.
