The Chen Institute for Neuroscience strives to identify and address the best ways to support neuroscience research at Caltech, while connecting this work with other partners globally and through the Chen Institute in Singapore, a neuroscience-focused philanthropic arm of Shanda.
The Executive Director will report to the Director of the Tianqiao and Chrissy Chen Institute for Neuroscience at Caltech.
This full-time position demands a candidate who will use her/his administrative experience in a higher education or scientific research organization to implement the vision and strategic plan of the Institute Director and oversee Institute activities. The Executive Director will work with the Director, its five connected center directors, and neuroscience faculty in affiliated divisions as well as Caltech development, administration, and communications offices to oversee the entire institute operating structure and assist in identifying new opportunities for supporting research and education in neuroscience and communicating Institute scientific advances to the public. The Executive Director will also oversee calls for proposals for Chen Institute support, proposal reviews, and selection processes for scientific projects and fellowships. The Executive Director will operationalize the vision and strategic plan for the Chen Institute for Neuroscience at Caltech as drafted by the Director. We are seeking a professional who:
- Is pro-active with the ability to prioritize/organize time well and develop creative solutions to challenging situations;
- Possesses good people skills, with an ability to manage strong and varied personalities, and good communication skills;
- Exhibits a strong work ethic/industrious and has attention to detail while retaining an overview of priorities; and
- Is comfortable with technology and able to interact with IT professionals.
The Executive Director position is a hands-on, direct responsibility job and requires the successful candidate to be able to perform most aspects of the position and oversee projects if contract support is required.
Manage Institute finances including project budgets and reporting for Chen Institute programs.
Supervise development of, manage and oversee the Institute website.
Organize and implement Institute-wide functions including symposia, retreats, workshops and seminars.
Interact directly with the Director, the Center Directors, the Division Chairs, and senior campus administrators to coordinate Institute and Center programs across campus.
Take significant responsibility for preparation of the Chen Institute Annual Report and work with the development and institute relations stewardship team for donor reporting.
Organize and coordinate meetings of external Advisory Boards.
Work with the Office of Technology Transfer to monitor any intellectual property created by members of the Chen Neuroscience Institute and track IP as it is under development, including this as a reporting item.
Coordinate with Caltech strategic communications on all public relations and news items.
Assist faculty in all aspects of the preparation of collaborative grant applications, including writing, assembly and submission.
Work with the senior development officer assigned to the Chen Institute to help formulate opportunities for philanthropic support and coordinate major fundraising efforts across campus.
Work with representatives from the international Chen Institute to coordinate their programs and activities with the Chen Institute for Neuroscience at Caltech and create synergies within their network of supported organizations.
BA required with some formal or informal exposure to biology and neuroscience.
At least three years of administrative experience within a higher education environment or scientific research organization.
Strong writing, editing and meeting organizational skills.
Strong inter-personal and communication skills.
Familiarity with website design, navigation, social media, applications and technology.
Comfort with basic mathematics, actuarial spreadsheets and programs.

Experience in the preparation and submission of grant proposals.
Experience preparing progress reports, and communicating with funding agencies.
MA, MBA, PhD or PMP Certification useful but not essential.
