Coordination and execution of all special events within the GDRA’s annual program of work.
Secure all sponsorships required to fulfill budget needs for each event or special project
Create marketing & branding for each event and promote each event effectively to attract the required number of guests to fulfill the budget requirements.
Director of Events (DE) will be responsible for creating, organizing and executing an annual Calendar of Events, including all major fundraising events, member networking events, educational events (round tables and competition), and government affairs functions.
The DE is also responsible for managing all event budgets, working closely with the ED to create a separate event budget for each event.
Work closely with Administrative Assistant to assist with event facilitation, including reservations, guest and venue communication, check-in at event and Founders Club/Season Ticket reservations.
Work closely with Executive Director to maintain satisfaction with all sponsors as it relates to their marketing and branding at events.
Produce and manage a monthly/bi-monthly communications piece to the GDRA membership that is informative and relevant to current activities within the GDRA and TRA.
Manage all social media platforms relevant to events and activities within the GDRA.
Develop and facilitate an Events Committee that will provide support with venues, menus, marketing/mail lists, and general guidance
Develop and facilitate a Sponsorship Council that will provide guidance and support in building relationships and raising money from future potential sponsors.
General Administration (10%)
Serve as back-up for AA to handle answering incoming calls to the office.
Attend all GDRA events and board meetings.
Attend GDRA Board Retreat and assist Executive Director and incoming President with planning and execution.
Perform any duties and support functions as directed by Executive Director.
Communicate regularly with Executive Director on event/activity/sponsorship progress.
Attend staff meetings, reporting out on event updates, publications, deadlines and financials.
Ensure that all member communication vehicles (newsletter, website, social media platforms) are up to date with regards to events and activities.
Membership Events & Fundraising (75%)
Responsible for managing and executing all events listed on the “Calendar of Events”. ED will be responsible for PAC events and TRTs
Responsible for all event logistics for fundraisers, membership events and meetings – including signage, pricing, contracts, location scouting, menu, guest speakers, A/V, agendas, scripts etc., with prior ED approval
Responsible for post-event wrap up – including invoicing, outstanding A/R, equipment rental, etc.
Create annual event budgets and set revenue goals for each function.
Create an event calendar with specific task-related dates for each event, including marketing collateral, invitations out, sponsorship deadlines, logistics
Negotiate and finalize best pricing for events and work within the financial boundaries of the budget.
Work with AA on managing all RSVP’s, and registration/check-in responsibilities at each event
Work with AA to develop all marketing collateral for events and activities
Secure all fundraising giveaways – including door prizes, raffle drawings, silent auctions, live auctions, etc.
Recruit and manage event committees and planning meetings.
Work with event committee and sponsorship council chairs on agendas and prepare materials for each meeting.
Work with outside public relations firm to: generate advance event publicity, and post-event wrap up including pictures to media outlets, press releases
Send follow-up correspondence to sponsors, guest speakers, honorees etc.
Responsible for content management for the GDRA website as it relates to events. Work with outside marketing/website manager to manage content on the site under the “Events” & “Sponsorship” sections.
Provide event information, news and releases to TRA & TRAEF for their newsletters within TRA’s publication deadlines.
Build relationships with vendors, sponsors and guests to maintain/increase membership retention and member relations, and to develop future sponsors for GDRA events and activities.
Work with Member Relations Manager on events to ensure Membership status is "Active"
Work with current and potential Associate members to get them engaged and involved in the local chapter.
Utilize iMis database to maintain current membership lists for event emailing and mailing purposes.
Bachelors’ degree in Communication, Public Relations, Marketing or any other related field or 3-5 years minimum special events/special functions experience.
Proficient in Microsoft Office Suite
AuctionPay Event software and QuickBooks experience a plus.
Excellent verbal and written communications skills
Proven attention to detail
Highly organized and able to handle multiple tasks simultaneously
Ability to maintain a consistently positive outlook towards all members and staff
Experience in the hospitality/ restaurant industry is a plus but not required.
