The newly launched Vanderbilt Institute of Infection, Immunology, and Inflammation (VI4) will capitalize on Vanderbiltâs strengths in areas such as personalized medicine, structural biology, vaccinology, immunometabolism, and nutrition, while simultaneously creating infrastructure to support research into microbiome sciences. VI4 will support ~100 faculty, and provide leadership for new growth in targeted research areas. VI4 will position Vanderbilt as an internationally recognized leader in research that bridges the disciplines of immunology and infection biology to improve human health. VI4 offers an outstanding opportunity for an individual with the skills and experience to be part of building the new Institute as a Program Manager. The Program Manager will provide strategic leadership for the creation, coordination, and execution of very large, complex events, programs and initiatives during a period of rapid growth as the new Institute is established.
Key Functions and Expected Performances
Reporting to the Institute Director, the Program Manager directs long-range strategic planning for events, programs and initiatives provided through the Vanderbilt Institute of Infection, Immunology (VI4) including: internal and external advisory boards; seminar series; annual symposia; community outreach activities; new faculty recruitment; training grant program and activities; undergraduate education activities; and new infrastructure development. Also manages the related day to day operations of these events, programs and initiatives to ensure success.
Develops long range strategic plans, goals and objectives in accordance with mission of the VI4, the institution and other stakeholders.
Determines the content and details of the events, programs and initiatives.
Creates and implements policies and procedures affecting the events, programs and initiatives.
Oversees the collection, compilation, and analysis of program activity data against goals, objectives and timelines.
Develops and implements improvements to the events, programs and initiatives.
Researches trends and implements strategies to promote continued improvements, growth and expansion of the events, programs and initiatives.
Develops, manages and implements public relations efforts for VI4 events, programs and initiatives.
Creates and maintains content for website, social media accounts and other information platforms for VI4.
Prepares content for presentation by the VI4 Director.
Manages the dissemination of news and information about the events, programs and initiatives to relevant audiences internally and externally.
Provides information on the Institute in response to inquiries from the media, the general public, faculty, staff, students, educators and other audiences.
Assures Institute contract and/or regulatory compliance.
Acts as spokesperson for the VI4 events, programs and initiatives in local media.
Oversees the planning and execution of VI4 events, programs and initiatives.
Oversees the development of the overall logistical plan necessary to successfully carry out the events, programs and initiatives.
Provides technical and/or professional leadership in the execution of day-to-day activities.
Writes specifications, negotiates and monitors agreements for the procurement of services, supplies and equipment, according to VUMC Purchasing policies and guidelines.
Assures compliance with applicable institutional, state and federal policies, regulations and laws.
Provides guidance on the appropriate documentation of the events, programs and initiatives to ensure compliance with VUMC policies and procedures, as well as those of the funding source, if external.
Develops, writes, and presents comprehensive statistical and narrative program reports.
Designs, implements, and manages financial development of VI4 events, programs and initiatives.
Forecasts, analyzes, prepares and implements annual budgets.
Has full budgetary accountability for the events, programs and initiatives.
Prepares monthly status reports on all accounts.
Oversees financial well-being of the events, programs and initiatives by analyzing cost effectiveness and exercising cost controls.
Approves and monitors budget expenditures.
Provides direction and oversight for fund raising activities and events.
May prepare grant and contract proposals to develop funding sources.
Manages staff, students and volunteers supporting VI4 events, programs and initiatives.
Coordinates or provides for the training of staff as needed.
Assigns and reviews the work of other staff supporting the events, programs and initiatives.
Conducts annual performance evaluations as required.
Provides constructive performance feedback to staff and students, and mentors staff as appropriate.
Conducts grant research to find potential funding opportunities.
May assist in drafting grant proposals based upon established guidelines.
May facilitate assembly of multi-investigator applications
Tracks and monitors expenditures against budget.
Drafts progress reports to funding source for the Institute Director.
