ORGANIZATIONAL RELATIONSHIPS: Reports to: Assistant Dean of Students and Director of Athletics, Physical Education, and Recreation Supervises: APER student-workers.
Summary of Position: Under the direction of the Assistant Dean and Director of Athletics, Physical Education, and Recreation, the Athletics Communications and Operations Coordinator coordinates Athletics, PE, and Recreation communications, home events, and front office operations, serves as the Sports Information Director for the department, provides direct support to the APER Director, and serves as the APER recruiting assistant.
Job Responsibilities Provide Direct Support to the APER Director
Provide administrative support to the APER Director as assigned, including but not limited to assistance with preparing documents and financial data, conducting research, running errands, filing, faxing, ordering materials, making meeting or travel arrangements, providing input on departmental planning.
Coordinate Athletics, Physical Education and Recreation Communications
Serve as Sports Information Director for the department
Fulfill sports information responsibilities to the NCAA, conferences, and sports-specific associations.
Responsible for all content and design of APER website and social networking accounts.
Create copy, take and select photos for press releases, articles, and website for strategic promotion of APER department and recruitment and retention of student-athletes.
Promote Mills College Athletics within the College and to outside target audiences.
Maintain and disseminate all sports-related information for the department (statistics, competition results, photographs and video, student-athlete information, and archives).
Prepare departmental data for grants, reports or public dissemination.
Research and select awards for which to nominate student-athletes, teams, and APER staff for academic, athletic, community service, and leadership recognition.
Coordinate communication and data collection initiatives with the Division of Student Life.
Coordinate Home Events
Direct home events and supervise home events staff
Including, but not limited to ordering AV equipment, set-up, training and supervising student workers, and providing in-game support.
Act as Administrator in Charge at home events in the absence of the APER Director. Oversee facility safety, crowd control, emergency response as needed, provision of athletic training, statistical collection, and game officials.
Manage Front Office Operations
Serve as the communication hub disseminating information about APER programs, calendars, and facilities. Coordinate automated information systems, including databases and web pages. Keep current information posted electronically and on site. Respond to inquiries. Receive and direct guests.
Process all revenue deposits for APER department including facility use, sales, and programs (tennis keys, rentals, recreation outings, etc.)
Update and implement APER operational systems, including but not limited to scheduling use and maintenance of APER facilities.
Support departmental administrative operations by performing duties such as managing departmental mail, office supplies, timesheets, staff meeting minutes, evaluations and surveys, and orienting new staff.
Supervise student-worker staff to assist with front office operations.
Establish and maintain effective and productive working relationships, while working in a diverse and multicultural environment.
Hire, train, and supervise Haas Pavilion and tennis court summer student-workers and oversee athletic facility operations, including the fitness center, in the summer.
Serve as Recruiting Assistant to the APER Department
Perform duties as assigned, e.g. initial contacts with prospective student athletes, mailings, and assist with athletics recruiting visits.
Additional Duties and Responsibilities:
Participate in department meetings for project planning and direction setting.
Coordinate ongoing APER department and Division of Student Life projects and assist with development of new projects in related functional areas.
Maintain safe work conditions and comply with established safety policies, practices, procedures, and requirements.
Perform related duties as needed.
Required knowledge, Skills, and Abilities
Strong computer skills. High proficiency in Microsoft Office Suite, database creation and management, StatCrew or equivalent statistical software, Adobe Photoshop and InDesign, social media platforms, photography, and video editing preferred.
Ability to effectively create and manage department website.
Ability to supervise staff for home event operations and for collection of accurate game statistics.
Ability to meet deadlines and handle multiple tasks simultaneously is required.
Organized, efficient, detail-oriented individual with the ability to prioritize many responsibilities and meet submission deadlines.
Available to work many evening and weekend hours.

Experience in athletics administration/compliance/sports information or related fields preferred.
Education and Experience
Bachelors degree or equivalent experience directly related to the duties and responsibilities specified.
Physical, Mental, and Environmental Demands
Work involves sitting for long hours and using office and athletic equipment. The incumbent will often spend long hours on the computer which requires attention to detail and high levels of accuracy.
Work often requires bending to adjust or work with office or fitness equipment.
Work occasionally requires physical exertion such as lifting and carrying objects over 30 pounds.
Ability to work in an indoor and outdoor environment.
The incumbent will be located in a busy area. Interruptions and meeting with a variety of people will be required on a regular basis.
There are a number of deadlines associated with this position, which may cause significant stress.

This is an exempt, full-time position with an FTE of 1.0. Salary is $55,000.00 and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 10 paid holidays annually. Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period. Voluntary benefits include: 403(b) retirement plan, pet insurance, long-term care insurance and legal-assistance insurance.
