REPORTS TO: Director of Marketing and Communications
JOB SUMMARY: The Sales & Patron Services Manager is responsible for identifying and cultivating group sales prospects; assisting and tracking a contract telemarketing sales team, and communicating with patrons. The position reports to the Director of Marketing and works closely across all departments of the PSO and box office staff to coordinate efforts. The position is full-time in Portland, Maine with some evening and weekend concert/event coverage.
ROLES & RESPONSIBILITIES
Grow group attendance and ticket revenue annually through the retention of existing groups and acquisition of new groups, including sales to corporate, institutional, educational or community groups
Develop and execute the annual group sales marketing plan, to include direct mail, email, print ads, and events—aligned with the overall marketing plan. Measure the success of promotions and activities.
Deliver the highest possible customer service; determine Group Sales procedures and policies; help lead Group Sales pricing decisions; leverage existing tools (Tessitura, T-Stats, etc.) to recommend and make good business decisions.
Prospect and develop new leads and lists.
Manage group sales budget; run weekly sales and lead/contact reports; forecast and make sales projections.
Administrative tasks include processing group sales orders, collecting payment, and managing group sales web pages: portlandsymphony.org, email, and the group sales phone line.
Supervise ongoing contract telemarketing campaign to boost subscriptions. Track telemarketing results and facilitate communication between the telemarketing company, the PSO Marketing Director and the PortTIX the box office at Merrill Auditorium.
Respond in a timely manner to patron inquiries
Update the PSO website
Track & deliver complimentary ticket requests in conjunction with the Corporate and Foundations Relations Manager.
Enhance the PSO's connection to its community through the promotion of outreach concerts and disbursement of complimentary tickets to local service organizations.
Ensure a dynamic presence on Facebook and other social media outlets. Facilitate a personal, two-way conversation between patrons and the PSO.
Assist in the creation, proofreading, and scheduling of PSO E-News and concert communication
Perform administrative tasks to support sales efforts, and to benefit PSO customer relations in general
This position serves in the rotation for front-of-house and marketing table management duties at concerts and events.
Other Marketing Duties
Proofread marketing materials
Coordinate placement and distribution for brochures, advertisements, newsletters, program books, posters, presentations, signage and promotional materials.
Assist the Corporate and Foundations Relations Manager in planning and managing the corporate sponsor employee discount program
Work cross-functionally to leverage activities in other areas of the organization (audience engagement efforts such as the City Christmas Tree Lighting) to drive ticket sales.
Other duties as assigned.
Excellent customer service and interpersonal skills; ability to increase retention by engaging clients and sharing an enthusiasm for the live concert experience
Strategic, sales-oriented mindset with at least two years of sales experience with proven track record of achieving sales goals; non-profit or performing arts experience a plus
Strong written and verbal communications skills with an ability to communicate effectively and in a timely way with external and internal constituencies, as well as strong editing skills.
Experience in E-mail communications (i.e. Constant Contact)
Social media savvy
Strong computer skills, including Word, Excel, and Outlook, and WordPress are a must, with Tessitura box office skills the gold standard
Willing to work as part of a team in an intimate office setting.
Thrives in an extremely fast-paced environment and can process information on the fly. Great communication, flexibility, and teamwork
Knowledge of and/or passion for classical music.
