Title: Operations Manager Department: Music Admin/Full-Time Job IRC#28478
Job Description: The Operations Manager (OM) supports the diverse performance and educational activities of the Music Department at the University of San Diego in close coordination with the Chair and the faculty. The OM supervises planning and staffing of the annual Concert Series, including the production and documentation of events. The OM supervises the promotion of the department and concert series through coordinated publicity, both printed and on-line. The OM coordinates the scheduling and logistics of Individual Student Lessons each semester, and manages department equipment. This position works under the general supervision of the Chair of the Music Department. This position exercises supervision over student workers that staff events for the Music Department Concert Series and other events in Shiley Theatre.
Essential Duties & Responsibilities: Planning and logistics of the annual Concert Series
Soliciting requests for events from faculty
Working with Music Department Concert Committee to finalize annual schedule
Reserve venues for events
Reserve Facilities Management for equipment needs
Collecting publicity information for events
Implementing on-line ticketing system
Collecting program information from faculty and preparing concert programs
Working with College Marketing and Communication Director on concert publicity
Production of events in multiple venues, including lighting, sound, and audio/video recording
Staffing concert events and overseeing student staffing for events
Operation of sound and lighting systems to support events
Staffing or overseeing front-of-hall operations (vending tickets, distributing programs)
Securing hall following events
Coordinating equipment needs with Facilities Management
Operating audio/visual recording equipment for events
Editing, distributing and archiving event documentation
Supervision of department publicity
Bring vision to the promotion and marketing of department and department events
Collecting and posting departmental news items for website
Implementing a monthly department newsletter (on-line)
Coordinating social media publicity for department events and news
Working with College Marketing and Communication Director on additional department publicity
Website management in cooperation with Music Department Executive Assistant
Development of a community e-mail list for promotion of department events
Coordination of Individual Student Lessons every semester
Collecting the Individual Student Lesson forms every semester
Coordinating schedules of students, instructors, spaces and accompanists every semester
Submitting contracts for Individual Student Lesson instructors every semester
Scheduling end-of-semester juries for Individual Student Lessons every semester
Coordinating jury process on end-of-semester jury days (venues, forms, supplies)
Training students to provide event support
Advertising student work opportunities for Shiley Theatre and Music Department
Training students to operate sound & lighting equipment in Shiley Theatre
Training students to operate audio/visual recording equipment
Approving timecards for student employees
Maintenance and upgrades for Shiley Theatre
Coordinate with Chair of Music Department and other university entities for budget requests to maintain and upgrade Shiley Theatre
Work with contractors to carry out upgrades
Conduct basic maintenance to sound, lighting, or stage equipment as needed
Coordination of use of major department resources
Maintain inventory of major department equipment (pianos, percussion, electronics)
Develop and implement a reservation system for permitting the use of equipment off-campus
Periodically (i.e. end of each semester) ensure equipment is accounted for
Recommend replacements/repairs to Dept. Chair
Minimum & Preferred Qualifications
Bachelor's degree in music, arts, or arts-related field
At least two years of related experience coordinating musical activities, preferably in a university context
At least one year of related leadership, project management or supervisory experience
Demonstrated experience with live sound production and recording of classical, jazz and world music
Knowledge of ETC Lighting consoles and ETC Sensor dimming racks
Experience with single-purchase theatrical counterweight fly systems
Demonstrated experience with computers, design software for producing posters, programs and on-line visual content
Demonstrated experience in on-line and social media marketing
Ability to craft creative and engaging messages for publicity and promotion
Ability to maintain flexible hours to support concert events on evenings and weekends
Ability to work cooperatively with multiple university entities in the production of events in Shiley Theatre
Background check: Successful completion of a pre-employment background check.
