Detailed Job Description
The function of the research program administrator is to provide support for sponsored research activities to principal investigator(s), and support for PHT180 initiative activities. Specific responsibilities include:
Proposal coordination, award administration / reporting functions, and financial forecasting for sponsored research.
Proactive coordination of opportunities with affiliated faculty network.
Management of PHT180 student resources supporting affiliated faculty.
Coordination of meetings and events for PHT180.
Internal and external report generation.
Major responsibilities include:
Management of PHT180 activities, coordinating efforts of the leadership team and affiliated faculty. Organize and maintain physical and network documents and assets. Develop quarterly and annual reports.
Manage web and social media platforms including drafting copy, announcements, and news
Develop strategy on sponsored project topics and develop plan for proposals; Create budgets with effort planning; Edit and conduct final review of proposal narratives and related documents; Coordinate with Sponsored Research Services (SRS) to submit proposals and associated documents to sponsors; and to comply with the terms and conditions of specific sponsored programs and RIT research policies and procedures including proposal routing forms
Manage extensive portfolio of projects for the PI(s), including extensive individual grant financial analysis, capacity planning, technical review, and financial forecasting for long term project planning and project closeout; Perform account reconciliation and process journal entries necessary to accurately depict grant spending and appropriately budgeted expenses
Coordinate with Sponsored Programs Accounting (SPA) to monitor grant spending for all sponsored research, establish and maintain electronic and paper records in compliance with institutional and sponsor policies exclusive to each separate award
Supervise research team members on the technical/progress reporting as well as provide detailed financial reporting, and communicate sponsor programmatic requirements, and participate in occasional travel to sponsor or conference meetings
Manage elements of research group policies including hiring, appraisals, travel reimbursements and tracking of payroll and vacation requests' Review and approve student employee hours, and process stipend payment forms; review QMWRs
Manage competitive and complex procurement; complete purchase orders and monitor receiving and payment; Coordinate an manage all consultant contracts and subcontracts
Responsible for human resources paperwork processing
Responsible for maintaining budgets and all aspects of finance pertaining to grants, projects, and the PHT180 initiative
Required Minimum Qualifications
3-5 years prior experience in an administrative position, preferably in an academic or research environment
Demonstrated financial competency in budget management and projections.
Must be able to work independently and exercise good judgment.
Strong reading, writing, computing, and interpersonal communication skills are required.
Expertise with Microsoft Office and have ability to learn RIT systems quickly.
Must be able to manage multiple tasks; have strong reasoning skills
Preferred: Possess an astute understanding of the nature of higher education; be able to articulate capabilities of RIT to granting agencies; and possess initiative, foresight, and diplomacy.
