Job Summary This is a time hybrid position. The House Manager is under the direct supervision of the Campus Programs Operations Manager. This position coordinates, schedules, and supervises audience services and front-of-house operations for events taking place in the Caltech Auditoriums, and provides customer service to event attendees and the Caltech community.
Under the supervision and in close collaboration of the Manager of Campus Programs, the Social Media Associate will initiate and oversee the operational planning, establishment, execution and evaluation of ongoing and sustainable social media communications. Position produces relevant content for various social media sites for targeted audiences. Ensures all online venues are updated consistently to maintain positive online presence. Educates the department on the proper use of social media and online communications. Serves as the subject matter expert on social media and online content management.
Job Duties House Manager Job Duties:
- Schedule usher staff for events - Supervise usher staff during events (assign duties and conduct pre-event briefing) - Coordinate Front of House logistics for events (program deliveries, creation of seating charts, placement of crowd control equipment, concessions, signage, and special display & exhibit materials, compliance with ADA regulations, custodial services, special seating for clients with special needs) - Coordinate event timing (start/stop times & intermissions) with Stage Manager, and manage patron flow entering and exiting the auditoriums - Oversee ticket collection/audience counts, and preparation of event reports and data records - Recruit usher staff and maintain usher labor pool and data records - Develop standard operating procedures for usher staff - Train usher staff in standard operating and emergency procedures - Maintain records of souvenir sales & maintain souvenir sales cash fund - Address customer inquiries or complaints - Perform work in accordance to Institute and regulatory agencies (e.g. OSHA, ADA) safety standards and practices
Social Media Associate Job Duties:
- Write, edit, and manage all social media related content - Launch, monitor and manage social media presence on Facebook, Twitter, Instagram, and other relevant social networking sites - Develop strategic social media plans; work closely with Campus Program marketing, outreach and fundraising efforts to ensure proper content and messaging executed online is relevant to organizational goals - Monitor any and all mentions of the department found online and shares feedback trends with relevant staff - Manage online discussions in a timely manner and crafts responses to blogs, other social media sites, and online news outlets - Conduct regular meetings to collect ideas from director and other team members for upcoming stories / items - Perform miscellaneous job-related duties as assigned
Anticipated Weekly Work Breakdown
- 15 - 20 hours (three to four events) in House Management - 10 - 15 hours in Social Media Associate - Total 30 hours per week
Basic Qualifications - Physical strength to lift up to 25 pounds - Ability to bend in all directions, squeeze with arms and hands, climb stairs, and work outdoors in all kinds of weather - Strong PC skills with a working knowledge of including but not limited to MS Excel, MS Word, MS Office, and Outlook - Effective problem solving skills - Excellent organizational communication both verbal & written - Strong interpersonal skills with the ability to work effectively with a broad spectrum of personalities, including staff, faculty, students, donors, patrons, etc. - In depth knowledge and understanding of social media platforms how they can be deployed in different scenarios - Skill in organizing resources and establishing priorities - Knowledge of management principles and practices - Ability to work as a team member in a cooperative work environment - Attention to detail - An appreciation for science and the arts - Must be available to work overtime, evenings, and weekends
Preferred Qualifications - Experience in auditorium safety procedures and policies - Experience in management of large crowds of event attendees - Experience in digital communications, preferably social media, for a school/university or for a nonprofit entity, government agency or public corporation
