The position is responsible for assisting the Senior Director, Operations and Outreach in the areas of office management, event management, volunteer support, membership/ marketing support, and outreach support.
Primary Phone Contact, monitor informational Society email
Processing of accounts receivable and payables
Preparing documentation and loading into outside accountant’s system
Processing invoices, getting proper authorization, identifying general ledger account, preparing checks and securing officer signatures
Processing check receipts including deposit spreadsheet, depositing at bank and loading information into outside account system
Maintaining office supply inventory and ordering new supplies as needed
Responsible for financial files and maintaining financial records
Organizing and executing record disposition program
Responsible for setting up event records in database (IMIS)
Registration operations including credit/cash receipts and returns, roster lists and email notifications and cancellations
Responsible for event logistics including creating and preparing name badges, onsite handout preparation, reception table host and process all walk ins.
Prepare and send out event feedback surveys and prepare summary report form feedback
Prepare and mail thank you letters and gifts to speakers/panelists.
For all Advisory Group and Board of Directors meetings:
Prepare and send meeting announcement/cancellation emails
Calendar set up and management
Maintain database on all volunteers per Advisory Group
Maintain volunteer records in IMIS
Order awards for outgoing leaders presented at Annual Business Meeting
Order food/beverage for advisory group meetings based on RSVPs
Membership Services Support
Process all local applications, including candidates and students; create database records for local applicants
Prepare monthly member reports and midyear member inactive report
Process daily upload from CFA Institute database
Assist in the search for pertinent news items and curate information for website/social media
Assist in website maintenance, routine editing and updates
Assist in the development and execution of marketing emails
Outreach Management Support:
Maintaining, editing all outreach material (Fact Sheet, Society Snapshot, and out reach presentations)
Preparation of onsite handout packages
College preferred- mid level professional
Excellent written and oral skills, professional demeanor
Computer skills: all Microsoft products, experience with IMIS database a plus
Email merges skills
