Grants and Communications Coordinator - Position Overview: This position is located in the Healthy Foods, Healthy Lives Institute (www.hfhl.umn.edu), a University-wide institute administered by the College of Food, Agricultural, and Natural Resource Sciences. The major goal of the HFHL Institute is to utilize and help build the strengths of the University of Minnesota in the areas of food, agriculture, and health to advance scientific and public knowledge and influence public policy. The Institute administers a series of grant programs, educational programs, an annual research symposium, the annual Conference on Native American Nutrition, and numerous other programs. The HFHL Institute also serves as the organizational host for the Minnesota Food Charter Network. The Grants and Communications Coordinator will be located in the Dept. of Food Science and Nutrition and will assist in the management of the Institute’s programs including grant processes, communications, event planning, and more.
Program Coordination - 40% • Plan and implement all Institute grant programs (2-3 per year). This involves working with the Institute Advisory Board to develop Requests for Proposals; serve as primary contact for potential grant applicants and all grantees; develop public information events concerning grant programs; responsibility for all communications regarding grant programs, including dissemination of RFPs and results of grant review to applicants; helping assemble review committees and serve as primary contact for reviewers; preparing summaries of all grant review discussions and brief summaries to be sent to applicants; preparing summaries of all research funded; preparing outcome reports for all grants funded • Manage the execution of educational and engagement events. This involves developing activities with external groups and University departments and programs; managing annual symposia and events with invited external speakers; interacting with the Institute Advisory Board; developing programs in collaboration with the HFHL Director and Assistant Director; identifying and contracting guest speakers, serving as primary contact for speakers, planning/executing all event arrangements including catering, selection and reservation of the event site, being responsible for audio-visual and speaker travel arrangements, maintaining and updating the guest list, etc.; budgeting, establishing dates and alternate dates for activities; being responsible for advertising and media coverage in concert with college and University media personnel.
Marketing/Public Relations - 40% • Coordinate development and expansion of the HFHL web site, posting research and outreach project results as well as marketing of the Institute's programs. • Manage HFHL media and marketing efforts, including planning and conducting news efforts (both print and social media) to provide information to researchers, students, and the general public. • Create, format, and edit online newsletters, an annual report, and print media/radio materials. • Maintain and update HFHL website, email lists and Institute files, making necessary changes and updating content and links as necessary. • Supporting the Minnesota Food Charter Network Director with marketing efforts, including website maintenance and email marketing.
Administrative Support – 20% • Maintain and keep organized online & network file systems, keeping primary institutional documents up-to-date. • Work with the Assistant Director to create and administer evaluation materials that effectively measure if program goals and objectives are being met at all Institute events. • Coordinate and schedule meetings with the HFHL Director and Assistant Director and both internal and external University of Minnesota partners; Assist HFHL Advisory Board taking and distributing meeting notes.
Required Qualifications: BA/BS degree or a combination of related education and work experience equal 4 years.
Marketing experience, including developing promotional materials and writing and/or editing content for distribution.
Experience with website editing and maintenance as well as using design and publication software.
Experience with event planning and coordination of events such as workshops, conferences, and meetings. This includes negotiating facility rental, ordering food, negotiating and contracting with external speakers, etc.
Experience using the following applications: MS Office; Excel database management.
Strong demonstrated organizational and project management skills.
Preferred Qualifications: Bachelor’s degree in a field related to nutrition, food systems, agriculture, and/or health. Knowledge of issues related to food systems and health.
Experience in grant programs and grants submission process. Knowledge of research methodology.
Experience with the following applications/platforms: Adobe design suite, Mailchimp, Drupal, WordPress, WebEx, Zoom, and Facebook Business.
Demonstrated ability working with diverse populations and interdisciplinary teams; accuracy and attention to detail and efficient and timely performance of tasks; ability to work independently and as part of a team; ability to evaluate efforts and initiate improvements to operations and administrative processes; strong interpersonal and communication skills.
