The Office of Research (OOR) supports the work of the ExecutiveVice President for Research and the conduct of biomedical science within theVanderbilt University Medical Center (VUMC) and across the School of Medicine.The mission of the OOR is to advance biomedical discovery, training and innovationacross the spectrum of VUMC academic endeavors. The OOR supportsmultiple programs that highlight research achievement, including the DiscoveryLecture Series and Vanderbilt Prize; the Biomedical Sciences Advisory Board;Research Staff Awards; Faculty Research Awards; and external prize recognitionof research and education at VUMC.
The Program Manager will report to the Director for ResearchResources & Strategy in the Office of Research (OOR). High-levelresponsibilities include daily interactions with senior leadership, executivefaculty and their assistants, as well as various VUMC and VU systems andstakeholders for the purposes of: event planning; content generation andcommunication; presentation preparation; ad hoc projects and research; andtravel coordination, calendaring and meeting planning. The successful candidatewill demonstrate excellent oral, written and technical communication skills; abilityto work independently with minimal oversight; strong organizational skills; anddiscretion for managing confidential information and complex tasks incollaboration with faculty and staff at all levels.
As directed by theProgram Team in the Office of Research:
Lead for Office of Research programs: Discovery Lecture Series; annual external Biomedical Science Advisory Board; annual Vanderbilt Prize in Biomedical Science; annual Research Staff Awards; and annual Faculty Research Awards. Including:
Manage events associated with these programs, including board meetings, award ceremonies, dinners and luncheons.
Draft and manage budgets
Develop schedules and project work plans
Coordinate activities of review committees and Vanderbilt faculty participants
Support external participants and guests including travel coordination as needed.
Identify and communicate issues promptly, propose plan/act to resolve.
Build and expand the scope of Program Team activities
Generate content and communications in support of OOR mission, including:
Prepare nomination packages for eligible Vanderbilt faculty, staff and trainees for prestigious external recognition and awards
Generate written reports, including for recurring faculty and executive meetings
Prepare letters of support, email correspondence and official announcements
Draft executive presentations
Maintain social media, websites and weekly newsletter
Support other new initiatives, such as strategic planning, research projects or special events.
Develop a laypersonâs understanding of the Vanderbilt research and academic environment to support advancing project goals.
Other specific activities will vary.
Support for the activities of the Executive Vice President for Research, working in collaboration with her executive assistant, including:
Schedule meetings and coordinate calendars.
Arrange international and domestic travel, and expense reporting.
Prepare leadership presentations.
Other duties as assigned.
Bachelor's Degree (or equivalent experience) and 3years relevant experience.
