Working as a member of the Development Office and reporting to the Director of Constituent Engagement, the Alumni Engagement Coordinator is responsible for coordinating alumni outreach and communications programming designed specifically to engage this constituency in School initiatives and with one another, with the aim of building a pipeline of donors that support overall development goals.
The Alumni Engagement Coordinator also supports all other engagement events produced by the Development Office, as assigned.
Support the Director of Constituent Engagement in engaging young alumni (up to 10 years post-graduation) in the life of the School and cultivate them to become annual donors, in collaboration with the Director of the Annual Fund.
Assist in the implementation of young alumni components in all Shipley programs and events, including local and regional gatherings.
Assist in the execution of cultivation strategies for alumni, including but not limited to college freshmen care packages, senior-to-alumni transition, special occasion gifts.
Coordinate the reunion activities of the 5th-10th reunion classes.
Create and distribute all e-communications for all classes for Alumni Weekend, working with reunion point people as required.
Provide invitation and event planning support for all Alumni regional and local events, including creating the invitation lists, creating the print and digital invitations, recording registrations, making nametags, and creating and running various pre- and post-event lists for use in event promotion and follow-up.
Provide daily oversight and management of the online alumni networking platform, Shipley Connect. Respond to alumni inquiries and, with the Director of Advancement Services, ensure database records are updated as appropriate with class notes or other demographic information.
Manage alumni email account and general Alumni Office voicemail on a daily basis, responding to, or re-directing inquiries, in a timely manner and follow up with any questions and concerns.
Manage and assist in communications content strategy and planning for all alumni social media platforms. Proactively source alumni news items for sharing within the alumni network.
On a bi-annual basis, collect and process class notes submitted by alumni for Shipley Magazine and other publications and for prospect profiles, in collaboration with the Director of Advancement Services.
Complete summer constituency change-over processes in coordination with the Director of Advancement Services.
Constituent Engagement Programs & Events:
Staff and assist in the execution of major fundraising events (Shipley Shops, Spring Auction, Secret Gardens, Golf Classic), as well as parent cultivation events (such as the New Parent Brunch).
Assist the Assistant Director of Constituent Engagement in ensuring the creation of the events in the Raiser's Edge database, processing and recording reservations, managing attendee lists, and producing name tags.
Ensure that event records are updated to reflect actual attendance, partnering with other members of the Development Office as needed. This should be done in a timely manner so that engagement can be accurately measured throughout the academic year.
Update event ledgers and process invoices and expenses related to Alumni events.
Maintain and update non-Raiser's Edge databases (e.g., Greater Giving) to support fundraising, cultivation, and stewardship events.
Produce mailings and lists as needed for events and meetings. For more complex data projects, coordinate requests made to the Director of Advancement Services.
Working with the Webmaster, ensure the event pages on shipleyschool.org are updated in a timely mannerly.
Support volunteers as necessary. Ensure that all volunteer assignment data (Development, Admissions, and Communications & Marketing) is recorded in the Raiser's Edge database.
Support and staff events, as assigned.
Receive and welcome visitors to Brownell House including meeting, greeting, and directing constituents to the appropriate staff person.
Answer general Development Office phone line and direct callers.
Provide back-up support for gift processing, as needed (e.g., during periods of heavy gift volume, vacations).
Staff central school switchboard on an as-needed basis.
Qualifications and Expectations
Bachelor's degree and one to three years of relevant experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Proficiency in the use of technology: CRM database (Raiser's Edge highly preferred), Microsoft Office (Outlook, Word, Excel, and PowerPoint), and web editing software
Strong organizational skills and attention to detail. Excellent planning, prioritization, multitasking, and follow-through in the execution of responsibilities. Excellent quantity, quality, accuracy, and timeliness of work produced.
Excellent customer service skills.
