Academic Program Assistant (Nonstudent Hourly Wage)
The George Mason University Department of Bioengineering, within the Volgenau School of Engineering, seeks candidates for an Academic Program Assistant to provide administrative support for our various academic program needs. Responsibilities: Working with school administration and department staff, the successful candidate will provide administrative support within the Department of Bioengineering. This position will also work collaboratively with administrative staff, faculty members, and program directors to promote the academic mission and goals of the department through contributions that support student organizations related to the programs, and assistance with events organized in response to community-building efforts. Additional responsibilities include:
Provides administrative support to the department chair by providing reception services; scheduling appointments and meetings; filing paperwork; researching files and records; and preparing and proofreading correspondence, reports and other documents as requested;
Provides administrative support to the department PhD and master's programs; communicates with students, advisors, committees; tracks/monitors program status; coordinates and/or assists with any program questions or concerns. Manages the signature process regarding forms, documents, and relevant correspondence requiring VSE Dean's/Graduate Office signature and/or Registrar's Office; follows up as needed to confirm approval and processing of student program actions. Works with Registrar's Office to ensure student academic record is accurate; scans and files electronic copies; monitors degree evaluation and keeps student, advisors, and graduate committee informed; attends graduate committee meetings;
Responsible for completing the hiring process for graduate teaching assistants, adjunct faculty, student hourly wage positions, and affiliates to include the distribution and collection of hiring paperwork and entering personnel assignments into the human resources system;
Assists students by determining who can best provide the information needed by the student, and by providing basic and initial assistance to students with questions about classes, registration and assigning advisors;
Helps organize and conduct departmental events as directed by securing space, equipment, and food; preparing invitations, announcements, agendas, brochures and packets; and assisting with the event as it occurs;
Supports the administrative business functions of the department by creating brochures, flyers and newsletters; organizing the faculty evaluation process; maintaining and updating the departmental social media, website or databases; preparing personnel action forms and position authorizations as directed; and verifying and processing student and part-time employee time records;
Supports the academic functions of the department by obtaining and processing textbook adoptions; scheduling classes and the use of classrooms, department facilities, or meeting rooms; and submitting all class grades; and Supports the department by performing all other duties as assigned by the department head.
A bachelor's degree from an accredited institution or an equivalent combination of education and work experience;
Demonstrated general office experience or an equivalent combination of education and general office experience;
Experience working in a higher education environment with diverse student populations;
Excellent written and oral communication skills;
Strong interpersonal skills; comfortable communicating with faculty, staff, current and prospective students, families, and the general public;
Excellent organizational skills;
Proven ability to work collaboratively;
Proven ability to prioritize;
Proven ability to multitask;
Experience with computer data entry and Microsoft Office Suite;
Familiarity with the use of e-mail and social media as a means of communicating with students, staff, faculty and the general public,
An understanding of, and appreciation for, the goals and values of engineering.
Salary: Commensurate with education and experience.
