Job Description Summary
The Assistant Director for Housing Occupancy serves on a team that provides oversees the day-to-day process, operations and systems that provide housing assignments for 6500 students in twelve college houses and Sansom Place graduate student housing. A thirteenth college house is coming online in 2021. Ensures full occupancy generating approximately $75 million in revenue. Provides support to the Associate Director on policy, procedure and process in support of a complex housing assignment process. Serves as an integral member of the Housing Occupancy Team.
The incumbent in this position will have oversight of the returning undergraduate and all graduate housing process, provide supervision and leadership to one Assignments Coordinator, work daily in StarRez and provide support in all Housing Occupancy projects and endeavors. The Assistant Director reports to the Associate Director for Housing Occupancy.
The Department of Residential and Hospitality Services (RHS) provides essential 24/7 services for the University of Pennsylvania. Thus, as a member of this dynamic organization, you may be expected to work outside of your regular shift during peak activity periods (eg. move-in) or when normal campus operations are suspended (eg. inclement weather). To the extent possible, managers will provide timely notice of modified work schedules.
A Bachelor's Degree is required and 3 years to 5 years of experience or equivalent combination of education and experience. Masterâ™s degree and 5-7 years of experience strongly preferred in education or related field. Related work experience, preferably in a university housing setting. Experience using StarRez highly desirable, experience with other housing data base programs required. The candidate must exhibit excellent oral, written and interpersonal communication skills. Strong organizational skills with attention to detail and accuracy. Demonstrated experience with utilizing, managing, exporting, and interpreting data on a daily basis, to make decisions and execute duties. Demonstrated high level proficiency utilizing technology such as web applications, online systems, database software, social media, and standard office packages. Knowledge of and experience with web and desktop publishing software and utilizing social media for business purposes strongly preferred.
Demonstrated ability to work independently and as part of a team, manage several responsibilities at the same time, resolve problems using initiative and sound judgment. Evidence of ability to collect, interpret, and report data and to write informational materials and reports. Must have a strong customer service orientation, including experience working with a diverse population on a daily basis to resolve problems or provide information, preferably college students and parents. Able to generate enthusiasm & work collaboratively with colleagues to achieve common goals in multidisciplinary teams. Availability and willingness to occasionally work alternative work schedule during peak activity periods or when normal campus operations are suspended.

Utilizes StarRez housing management software to insure room & resident data is accurate, update communication templates and messages.
Create, run & analyze reports.
Makes decisions & recommendations re: special requests incl. termination & housing eligibility. Handles special cases incl. students with disabilities, special medical needs.
Uses other University systems incl. student records system (SRS) & student billing for data & status verification, rent, fees, billing and collection.
Participates in StarRez process review and revisions.
Works with staff from other University Offices (Admissions, academic departments, Facilities, Study Abroad, VPUL) to coordinate services and resolve student housing issues.
Serves as liaison to College House Deans.
Communicates procedures, deadlines, and instructions for room assignment processes.
Works with Deans to resolve higher level resident issues. Assists Deans with use of housing management software as needed.
Works as part of the Student Support Services team & may assist with or assume other responsibilities as needed to meet RHS goals.
Marketing & Communications 5%
In collaboration with the RHS Associate Director for Communications, develops marketing and social media plan for new student housing process.
Leads a team in the development of the Cozy on Campus program.
Collects, reviews and reports on data related to occupancy. 5%
