Department/College Description RIT has delivered applied and rigorous executive educational programs for over two decades. The Saunders Executive Education department comprises on campus and online Executive MBA programs as well as custom-developed executive programs for small and large businesses. Programs are designed to deliver a quality learning experience suited for mid-career and other seasoned professionals from a broad range of industries.
The Program Coordinator for Executive Education is responsible for managing the operations of the Executive Education department. These activities include: student registration, event coordination, course delivery logistics, scheduling, data operations, student engagement, and budget reporting, etc.
The position requires strong project management skills, organizational skills, interpersonal skills, and the ability to work across departments and functions. The candidate will work closely with the program director and will be independently responsible for most activities.
Detailed Job Description
Primary liaison with EMBA students on operational issues and advocates on their behalf with all RIT departments.
Responsible for planning and execution of all special events.
Create and manage all course EMBA schedules and calendars.
Assist faculty and Director with course preparation.
Responsible for planning annual international trip working with outside vendor, Risk Management, and accounting.
Responsible for creating and reporting student surveys using Qualtrics (i.e. program, orientation, international trip, alumni events, etc.).
Design and maintain database of student profile information for ranking surveys such as US News & World Report, Princeton, Poets & Quants, Top MBA, etc. Complete draft surveys for Director's review and submission.
Provide Director with academic performance reports and faculty evaluation data at the end of each session.
Maintain client capstone applications database and create summary reports.
Procure all digital equipment, textbooks, cases, simulations, etc. for electronic delivery to students.
Work with admissions, billing, registrar, student services, corporate sponsors, etc.to ensure friction free student registration experience.
Responsible for budget tracking and monthly financial reconciliations including the department's pro-card.
Prepare invoice payment forms, purchasing requisitions and journal entries as needed.
Prepare and process all faculty contracts and payments via Oracle or similar financial software
Required Minimum Qualifications
3 - 5 years experience in a higher education environment
Demonstrated experience in defining and managing business processes.
Experience using Oracle or similar platforms to manage financial accounts.
Ability to work without direct supervision
Ability to manage multiple projects simultaneoulsy and to work independently, as well as part of a team
Technically savvy with the ability to understand and guide a broad array of system and process improvements
Strong oral and written communication skills
Strong customer service focus
Ability to effectively interact with prospective and current EMBA students, EMBA alumni, university faculty, administration and key personnel at various organizations
Organizational and time management skills are important to be successful in this role
