The Public Engagement and Events Specialist is responsible for shaping the public perception of the Judaic Studies program.The role has two main components: 1) coordinating outreach and communication activities to enhance the visibility of the Judaic Studies program at Michigan and around the world and 2) managing a wide range of academic events (virtual and in-person).The position will support the Frankel Center faculty and the Frankel Institute fellows towards enriching their scholarship and research through its publicity initiatives and social media strategies.This positon will also design in-house promotional materials, manage the production of print publications as well as plan, solicit and write content for the annual newsletter and the Judaic Studies website.
Plan and implement a wide range of live/in-person and virtual academic events such as conferences, symposia, lectures, and workshops.
Work closely with faculty and fellows to plan event logistics including, but not limited to venue scheduling, catering, audio and visual recording/live streaming, photography, and budget projections for the above and for guest services.
Communicate with guest speakers about event logistics such as travel and hotel accommodations, hosted meals, itineraries, virtual needs, and honoraria agreements.
Develop event budgets, monitor projections against actual expenditures and process needed adjustments, initiate and track financial transactions.
Be present at events to manage all event details, as needed.
The person in this position needs to set up and tear down for events and sometimes move across campus for different venues. The person will often times need to move equipment, food, or other items required for event set up, using a cart, weighing up to 50 pounds. This job requires the ability to move materials weighing up to 25 pounds to a height of 3-4 feet and set them on tables, carts, or other surfaces.
Outreach and Communications (35%)
Work with Judaic Studies leadership to develop outreach strategies.Design and deploy public engagement initiatives and promote diversity, equity and inclusion to enhance Judaic Studies at Michigan.
Create and disseminate the Frankely Speaking annual newsletter and monthly e-newsletter in close cooperation with the director, associate director, and faculty.Investigate background research and conduct interviews with faculty academics and guest speakers.
Research, write and distribute news worthy announcements, articles, and advertisements to targeted media (University Record, Michigan Daily, A2 Observer, WJN, DJN, AJS, etc.).
Post events on the University’s event calendar and through other media outlets.Build and maintain relationships with internal and external media contacts.
Create and publicize announcements through MailChimp featuring Judaic Studies events and news.Develop and update content for the website news feed using the Adobe Experience Manager platform.
Lead the social media strategy on Facebook, Twitter, etc.; create content and post news, accomplishments, events and other relevant content; develop long-term social media goals.
Design and Production (15%)
Design in-house publicity materials such as event programs, high quality print and on-line posters, flyers and other required materials in support of events.Assist with course posters.
Work with Michigan Creative editors, graphic design professionals, and print vendors, on production of event brochures, Belin postcard and Publication, Institute Annual and Frankely Speaking.
Research images for copy-write/permissions.
Coordinate with Director and Chief Administrator to implement short and long-term development objectives as needed.
Collaborate with LSA Advancement on events or activities involving potential and existing donors or prospective students.
Support development activities, including donor solicitations/campaigns as needed, and online fundraising (Giving Blueday) initiatives.
Coordinate with Student Services Coordinator to create annual donor engagement letters and alumni profiles.
Two or more years of experience with event planning
Two or more years professional experience with managing publicity and writing content for both print and web-based outlets for educational programs and events
Bachelor’s degree in related field, or equivalent combination of education and experience
Clear and concise verbal and written communications skills, including drafting original content
Ability to utilize the newest communication and networking tools to inspire action and foster change including experience managing and growing audiences for social media
Capable of working independently and as part of a team while exercising sound judgment and decision making skills
Exhibit diplomacy in working with academics and other professionals
Ability to work with a diverse group of faculty and staff, across disciplines and at various levels of the University
Demonstrated analytical and problem solving skills
Excellent organizational and time management skills, including attention to details, with the ability to multitask
Demonstrated creativity and initiative
Experience with website content management and social media
Excellent computing skills including MS Office (Word, PowerPoint, Excel), some knowledge of Adobe Creative Suite (In Design, Photoshop, Illustrator) and Adobe Premier Rush
Experience working in higher education
Familiarity with creating and managing event budgets
Demonstrated proficiency with Adobe Creative Suite (InDesign, Photoshop Illustrator) and Adobe Premier Rush
Experience developing and implementing communication and marketing strategies
Knowledge of web design with experience in driving website content, improvements and analytics
Familiarity with UM communications environment and branding standards
