This position independently manages the operations of the Health Law Institute and the Health Care Compliance Program. In collaboration with the Institute Director, this position develops and implements HLI marketing and recruitment, certificate and course logistics, events, budgets, and new programming. This position builds relationships with, and provides support to, students, faculty, adjuncts, alumni, advisory board members, guest speakers, and industry partners. This position provides new programming research, planning, implementation, evaluation, and reporting.
Marketing and Recruitment:
Identify need for marketing campaigns and materials and independently draft and gather marketing content. Recommend and implement new marketing and recruitment techniques.
Annually Lead the production of the Summer, J-Term, and Online Non-JD Compliance brochures and online advertisements; Produce the HLI Highlights which highly influences the US News and World Report voters; Update the HLI brochure used for prospective J.D. students; Exhibit at two HCCA Conferences in order to recruit students.
Quarterly Create and distribute MailChimp newsletters, event mass emails, and Online Non-JD Compliance recruitment emails.
Monthly - Update Certificate information packets; Solicit and post Healthy Dose of Good News submissions from alumni; Contribute information to the Alumni e-Newsletter; Take photos at events, edit, post online, and archive.
Weekly - Work with outside vendors to produce marketing materials; Distribute print and digital information across campus; Pay invoices; Answer phone and email inquiries from prospective students and keep a record of interactions.
Daily - Independently manage our 3,000 person contact list; Post information to Facebook, Twitter, and LinkedIn; Update the website; Gather information for and create the monthly HLI Brief e-Newsletter on Mailchimp
Certificate and Course Logistics:
In collaboration with the Institute Directors, identify strategic course offerings and faculty and recommend and analyze changes to certificates.
Make sure all adjunct has their syllabui in on time and the course is open on Canvas promptly.
Communicate with HR re: faculty contracts and background checks.
Blackboard course management assistance and create course budget reports.
Work with St. Kate's and Hamline to ensure the consortium agreements are properly managed.
Solicit and organize course descriptions, dates/times, and syllabi. Review and edit syllabi and coordinate course creation with the Registrar.
In collaboration with the Institute Directors and speakers, develop program descriptions, content, and materials. Identification of, outreach to, and coordination of speakers and recruitment of attendees.
Budget, registration, and catering management
Applying for CLE and CEU credit. Coordinating webcasts and on-demand CLEs
Collaboration and coordination with bar associations, law firms, and other outside organizations
Sponsorship management, track student and attorney event attendance, and lead the day of event management.
Coordinating flight, hotel, and ground transportation for speakers. Processing honorarium and reimbursement payments requests
Institute Operations and Budget Management
Supervise the HLI student worker. Track data related to students, courses, alumni, marketing, etc.
Respond to data inquiries related to budget, credits, students, etc. and inquiries from potential Medical-Legal Partnership clients
Organize monthly HLI faculty meetings and biannual Advisory Board meetings
Coordinate with the Student Health Law Society and conduct HLI student and alumni evaluations
Food Law Center management (scheduling meetings, event coordination, and faculty resource)
Create the first draft of the HLI budget each fiscal year (includes the Online Non-JD Compliance Program and marketing)
Meet with the Dean's leadership team and Finance to review the HLI budget request.
Distribute budget reports to Directors periodically. Create all check requests and deposits.
Manage and monitors costs and revenue streams and the MHSL credit card properly.
Associate degree with 3-5 years of previous experience in program administration including event planning (may consider combination of education and experience). Bachelor's degree preferred.
Moderate/advanced word processing software skills: Word, PowerPoint, Excel, Adobe; educational institution-related software: Canvas (important to be familiar with Canvas or similar learning platforms), Agresso (procurement), Agresso (student data), ActiveData (event/room reservations and registration/payment process), Outlook, Social media (Facebook, Twitter, LinkedIn, Panopto), WordPress, MailChimp, and SurveyMonkey.
Exceptional interpersonal and communication skills; Responsive, proactive, and detail oriented.
Strong writing skills.
Knowledge of higher education policies and procedures.
Ability to work with confidential and sensitive matters in a fast-paced environment both independently and as part of a team.
Effective listening and excellent organizational, time-management skills.
