Georgetown's Biomedical Graduate Education (BGE) is home more than 900 trainees studying in a variety of PhD, master's, certificate, and postdoctoral programs in interdisciplinary basic and translational biomedical science, health science, data informatics, policy, and ethics, and industry science.
The Assistant Director of Digital Communications oversees the management of technical, administrative, personnel operations, and oversight of over 1100 unique webpages within our thirty-six program and central websites in the Office of Digital Communications. They design and manages the websites for all 36 BGE programs and BGE's central office website, and - as a member of the Admissions and Marketing team, they create and analyze key data of website governance and website best practices to inform and be part of the decision making team at BGE to implement new and strategic recruitment and marketing initiatives. Reporting to the Assistant Dean of Administration & Finance of Biomedical Graduate Education, and collaborating with other BGE offices, the Assistant Director of Digital Communications has duties that include but are not limited to:
Website Development & Content Migration
Serve as primary website point of contact for 36 BGE graduate programs
Manage the content migration process of all BGE program sites from legacy and Whitehaven templates of Drupal to the WordPress template determined by University Information Services (UIS) for all 36 BGE programs' websites and the main BGE website
Work closely with UIS about the back-end processes to ensure over 1100 unique webpages are working correctly
Create new design elements in order to meet all of our program website needs and work with UIS for implementation
Develop a content strategy for designing the 36 BGE programs' websites content architecture using Google Analytics
Draft content architecture layouts for review and approval
Design landing pages and content pages that are simplistic, modern, and user-friendly for all 36 BGE programs' websites
Monitor web content of 36 BGE programs' websites content
Monitor web content of BGE central website content
Manage and monitor BGE's repository of more than 1,000 images and multimedia files
Develop the BGE central and 36 BGE graduate programs' websites
Manage the dynamic content, including news articles, event announcements and multimedia for 36 BGE graduate programs' websites
Enforce site plans and page layouts standards for 36 BGE programs' websites and BGE central website, in collaboration with UIS
Select photos from the Georgetown photo depository of over 2000 photos to use on the website and edit/take photos if needed
Focus on improving the user experience for the website through updating website architecture, content accuracy, new images, webpage layouts, and concise content
Collaborate with 36 BGE individual programs' directors and administrators on content development for their program websites
Work closely with 36 BGE programs for feedback and revisions
Conduct multiple rounds of revisions based on feedback from UIS and programs
Serve as a liaison between UIS and BGE programs
Create and generate audience and demographic analysis report
Review 36 BGE programs' websites and BGE central website for content accuracy
Analyze audience and demographic analysis report
Review web graphics and content to ensure it meets Georgetown University's Visual Identity standards
Collaborate with BGE central offices such as Office of Admissions, Office of Student Services, Office of Academic Affairs, Office of Graduate and Postdoctoral Training & Development, and Office of Strategic Initiatives and Marketing to create content for the BGE central website
Maintain the current BGE website and all 36 programs' website, including more than 1100 unique webpages to have updated and dynamic content, and improve user experience with the website
Develop new content based on user inputs, program interests, and current events for programs, which averages over 60 pieces of new content or edits to program websites per academic year
Consult BGE Offices and program administrators about their technical and front-end support needs
Check for 508 compliance and update and develop content to meet 508 compliance to make sure all websites are compliant with the Georgetown accessibility standards and all users can access our websites
Create approximately 40 events per academic year on GU Events to promote BGE and program events to foster community and student engagement
Use web analytics to make data-informed decisions on how to improve users experience and user interface
Assist 36 BGE programs in determining keywords to use Google AdWords through web analytics in order to improve out program's Search Engine Optimization (SEO)
Advise 36 BGE programs' Director of Graduate Studies, coordinators, faculty, and staff on best practices of website and social media as well as Search Engine Optimization (SEO)
Serve as primary contact of website training for Directors of Graduate Studies and coordinators of the 36 BGE graduate programs
Train and advise Directors of Graduate Studies and coordinators of the 36 graduate programs' administrators, as well as Directors of Graduate Studies who oversees the departmental websites on best practices and website governance
Develop 25 to 30 new Scholarship Recipient Profiles per academic year, which is a key marketing tool for prospective students for the following year. For each Scholarship Recipient Profile, the office works with students to create the profile content, takes and edits headshots, proofreads content and develops the webpages.
Develop approximately 10 new External Award Recipients Profiles per academic year to highlight the research and grants our PhD Students take part, and which is used to market to prospective students and external institutions looking at the quality of BGE programs. For each External Award Recipients Recipient Profile, the office works with students to create the profile content, takes and edits headshots, proofreads content and develops the webpages.
Write engaging, informative content about the amazing BGE events (approximately 2 events per semester) for our students and post it on the BGE website
Provide high level technical support to the Directors of Graduate Studies and coordinators of the 36 BGE graduate programs who oversee the departmental websites on web related issues
Attend university-wide Digital Working Group meetings to collaborate with communication office across the university campus
Serve as a liaison between UIS, BGE, and program leadership
Graphic Designs & Photography
Develop 15 graphic designs per academic year using Adobe Illustrator and Adobe lnDesign for programs and BGE central office for recruitment and marketing purposes.
Design 15 promotional and recruitment materials for the needs of Office of Admissions and Office of Strategic Initiatives and Marketing such as journal ads, banners, student interest cards, and BGE booklet overview to promote the program to potential applicants.
Review about 10 web graphics and content per academic year, which on average takes about 30 hours per design from idea to creation to implementation, to ensure it meets Georgetown University's Visual Identity standards
Upkeep 36 BGE programs' overview one sheets for recruitment purposes
Redesign and print 36 BGE programs' overview one sheets to have user friendly design and attractiveness
Work closely with the program administrators for feedback and revisions on one-sheets - an average of 1 to 1.5 months of back and forth before a redesigned one-sheet is created
Streamline and maintain BGE logos and letterhead designs to have a uniformed presence and brand
Create print posters and signage using Adobe InDesign for the needs of the BGE central offices
Create and manage BGE's repository of vector logos
Create print posters and signage using Adobe Illustrator
Take high resolution images for BGE events, program events, class photos, graduation, and headshots to use for their news articles and other promotional material (takes approximately 2 hours per photo session, depending on the length of the event)
Edit photos through Adobe Photoshop and Adobe Lightroom, which includes filtering through all the photos taken on average 400 photos/event, selecting the best photos, and then editing the photos
Serve as a liaison between BGE and our printer partners
Bachelor's degree - preferably in computer science or marketing or a related field
2 to 3 years of work experience in higher education or related field
Experience working in various content management system (Drupal & WordPress)
Experience in Google Analytics, Google AdWords, and Google Tag Manager
Advanced ability in Adobe Creative Suite (Adobe Photoshop, Adobe Lightroom, Adobe Illustrator, and Adobe InDesign)
Experience with proofreading, editing and writing for websites
Understanding of writing and positioning of digital content
Excellent time management and organizational skills
Proven ability to meet project deadlines
Working knowledge of social media
Successful record of managing and delivering digital content
Strong interpersonal skills that serve both individuals and groups
Ability to effectively manage competing priorities effectively
Ability to work both in teams and independently
Detail-oriented, organized, and to successfully juggle many different many projects with consistent accuracy, follow-through, and timely completion of projects.
Professional experience in website digital development and communications, especially in higher education
Experience in website governance and graphic design
Experience in survey and mailing platforms such as Qualtrics, SurveyMonkey, MailChimp, and Google Forms
Experience in using a DSLR
