Detailed Job DescriptionThe Senior Staff Specialist is the primary point of contact in the Department of Software Engineering. Working with a group of student office assistants, they provide excellent customer service when greeting and assisting visitors, answering phone calls, assisting with faculty requests, and accepting deliveries. They also work closely with the Office Manager and Staff Assistant to ensure that the office's day to day operational needs are met.
Reporting to the Office Manager, the Sr. Staff Specialist supports the growing graduate programs- Masters' degrees in Software Engineering and Data Science (on-campus). They are responsible for working closely with the program director(s) to run the graduate programs' daily operations. Specific responsibilities include:
- Managing and processing admissions documentation and student records
- Planning events such as Open House and graduate student orientation
- Managing graduate merit scholarships
- Overseeing capstone and thesis defense processes
- Reviewing co-op eligibility requirements and processing necessary paperwork
- Ensuring all graduate student forms are complete and accurate before processing and submitting to the Registrar's office.
Additionally, the Sr. Staff Specialist is responsible for coordinating the content for and updating department website(s), social media pages, and other electronic media. This includes ensuring that existing information is up to date as well as working with faculty and students to create new content in the form of news articles, images, and event advertisements.
The Sr. Staff Specialist is also key in managing the department's student workers. They will hire, train, and supervise the department's office assistants. Additionally, they will complete hire paperwork for and perform semi-weekly time-card sign offs for the department's course assistants, graduate assistants, and lab assistants.
As a key member of the department's staff, the Senior Staff Specialist is also a back-up for the Office Manager and Staff Assistant when they are not available. They will be expected to triage any issues that arise.

The Department:
The Department of Software Engineering offers the Bachelor of Science and Master of Science degrees in Software Engineering with current undergraduate enrollment of 550 and graduate enrollment of 50 students. The department also offers a Master of Science degree in Data Science. The undergraduate Software Engineering program has been accredited by ABET since 2001, most recently renewed in 2016.
Required Minimum Qualifications- Five years of related office experience in administrative support, preferably in higher education.
- Intermediate skills in Microsoft office - Word, Excel and PowerPoint.
- Proven ability to work independently, exercise professional judgment and decision-making and respect confidentiality.
- Attention to detail and follow-through skills
- Outstanding customer service skills and ability to engage with students, faculty, staff and campus visitors
- Ability to establish, build, and maintain effective working and collaborative relationships with campus partners.

- Evidence of organizational and problem-solving skills and the ability to work collaboratively as well as independently.

PREFERRED EXPERIENCE:
- Intermediate-level proficiency in the use of PeopleSoft and Kronos.
- Experience with academic policies and practices, student tracking and record keeping systems.
