anthro.ucsc.edu JOB SUMMARYIn consultation with department management, uses professional concepts in drafting department schedule for courses, seminars, and special events, taking into consideration faculty leaves, preferences, and faculty course load, classroom availability, and enrollment figures. Schedule may be reviewed to ensure it meets the needs of students for degree progression. Independently obtains classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office.
Under the direction of the Anthropology Department Manager, the Anthropology Scheduling & Programs Coordinator utilizes their knowledge of complex policies and procedures to support both curricular and co-curricular programs for the department. Major functions include class scheduling, co-curricular programs support, managing the department web site, alumni outreach, and purchasing for department operations.
The Anthropology Scheduling & Programs Coordinator works in collaboration with the Department Manager, Lab Manager, and Graduate Program/Internship Coordinator to support our faculty and students.
APPOINTMENT INFORMATIONSalary Information: Salary Range: $28.50 - $30.53 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES50% - Curriculum and Instructional Support - Drafts schedule of courses to be offered each term based upon a provided course listing, enrollment trends, and faculty availability.
- Using judgment and discretion, independently obtains classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office, past enrollment trends, instructor preferences, equipment and facility needs, department and campus needs.
- Consults with Campus Scheduling Office and instructors on issues regarding obtaining appropriate classrooms and advises faculty or senior level manager on options.
- Works with other departments to set up cross-listed and room-shared courses.
- Recommends to department / college / school management or faculty assignments of courses to graduate student instructors (including Teaching Assistants) and readers.
- Collects, analyzes, and provides statistics on enrollment trends to department management.
- Manages student enrollment for efficient use of classroom space and resources, and ensures students are enrolled based upon established priorities.
- Sets up enrollment limits, seat reservations, and other course restrictions.
- In consultation with faculty, drops no-shows and replaces them with the highest-priority waiting-list students.
- Prepares and submits course approval forms to the Committee on Courses of the Academic Senate when the department proposes additions, changes, or withdrawals of courses.
- Provides information to faculty and visiting instructors about scheduling procedures and practices and enrollment needs.
- Manages Student Experience of Teaching Survey (SETS)/course evaluations.
- Processes appointmeents for student academic employees.
15% - Event / Co-Curricular Program Support - Assist in coordinating department events (including co-curricular events, faculty recruitments, etc.). Duties include scheduling, room reservations, arranging setup and breakdown, media needs, and catering arrangements.
- Process travel and honoraria for guest speakers and/or faculty candidates. Coordinate schedule and logistics with travelers, arrange transportation (air and ground). Ensure timely and correct submission of travel/compensation-related documents.
- Plan and manage budget for events/co-curricular activities in consultation with Department Manager and faculty coordinators.
- Create and disseminate promotional materials (flyers, emails) including soliciting content from guest speakers; maintain email lists.
15% - Web Support - Assist with the maintenance of ANTH web presence. Develop content (e.g., featured profiles and new stories) and update information pertaining to the undergraduate programs, faculty, curriculum, and department/programs in general.
- Monitor and resolve issues with web site accessibility.
15% - Operational Support - Provides support for purchasing and payments for department operations.
- Participate in the selection, training, and supervision of student employees who assist in general office administration.
- Provide backup to department staff as needed.
- Other duties as assigned.
5% - Development and Alumni Outreach - Oversee and coordinate the department's Annual Fund/social networking developmentinitiative. Manage ANTH social media. Coordinate communications from Chair to alumni and develop featured profiles. Work with Social Sciences Development and University Relations to manage alumni mailing lists.
- Coordinate publication of annual newsletter(s), web site news feed.
- Develop and foster relationships with alumni. Recommend and coordinate opportunities for alumni involvement with ANTH and their affiliated programs, creating networking opportunities for current undergraduates and recent graduates, and inviting alumni to public events sponsored by ANTH or their affiliated programs.
REQUIRED QUALIFICATIONS - Bachelor's degree in related area and / or equivalent experience / training.
- Demonstrated technical skills in word processing (Microsoft Word), spreadsheet (Excel), Database applications (FileMaker Pro and/or other databases), web applications, PDF files (Adobe Acrobat Professional), Internet navigation, social media and e-mail; experience in web editing and design; experience creating online surveys; experience using Macs; experience working with a server, specifically uploading documents and coordinating permissions; experience with desktop publishing and/or design.
- Demonstrated ability to exercise discretion and good judgment with confidential matters including confidentiality of donor information or other sensitive or confidential student (FERPA), academic or staff personnel and organizational matters.
- Demonstrated work experience requiring excellent communication, interpersonal, and customer service skills. Demonstrated ability to diffuse charged situations through respectful, clear, and succinct communication.
- Demonstrated ability to work independently, to set priorities, and to complete work under pressure of deadlines, multiple responsibilities, and duties without close supervision.
