Reporting to the Director of Alumni Affairs, the Assistant Director provides support for the planning and implementation of alumni relations programs for the School of International and Public Affairs to create measurable increases in both community engagement and development participation.
Serving as the primary point of contact to SIPA staff, University colleagues, and alumni, along with the Director, the Assistant Director establishes close partnerships with staff and alumni volunteers.
Responsibilities
Work with the Director of Alumni Affairs to plan and organize alumni events (virtual, local, regional), volunteer programs, and other engagement activities.
Oversee the day-to-day management of SIPA alumni activities and communications including responding to inquiries via webforms, email, phone, or in-person.
Manage the strategic planning and production of alumni communications including newsletters, event invitations, and other e-mail communications, website content, print materials, and social media campaigns to SIPA alumni. Create segmented alumni communication using Salesforce and Marketing Cloud platforms. Collaborate with the Communications and External Relations team on news and communications featuring alumni.
Coordinate event logistics for in-person and virtual programs; communicate and negotiate with venues, manage vendor contracts, and coordinate event set-ups or virtual platforms (Zoom) and staffing. Manage event marketing and communications, event registration, and guest inquiries. Staff occasional evening and weekend events, as required.
Work with the Director to execute volunteer programs including initiatives related to SIPA admissions, recruitment, and yield activities in collaboration with SIPA Admissions, and career programming in collaboration with the Career Advancement Center.
Work with the Director to administer the SIPA Alumni Association board and committees including its events and meetings, communications with committee members, and maintenance of committee lists, records, and minutes.
Liaise and staff joint initiatives with SIPA???s Development team and other SIPA units including the Career Advancement Center, Admissions, programs/concentrations, student groups, and other internal and campus partners to facilitate alumni programs and outreach.
Oversee the capture and tracking of alumni engagement metrics, the collection and analysis of alumni information and data, and evaluation and reporting on engagement outcomes and programming.
Maintain financial records, track expenses and purchasing.
With the Director, co-supervise a fulltime Administrative Assistant, and program assistants and other student employees in the Office of Alumni Affairs, in general office duties, event logistics, and updates to alumni data in Athena.
Minimum Qualifications
Bachelor???s degree from an accredited institution and a minimum of 3 years of related experience, including event planning, marketing, and communications.
Excellent communication and interpersonal skills, together with the ability to work collaboratively and courteously with a diverse constituents and partners including colleagues, alumni, development partners, school administrators and faculty, external partners, and the general public.
Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines.
Strong analytical and critical thinking skills so as to be able to collect and analyze the appropriate data and information to ensure that the programs are regularly measured, assessed, and enhanced.
Demonstrably strong writing skills and proficiency in Microsoft Office.
Must complete projects with minimal supervision.
Willingness to travel and work evenings and weekends.
Preferred Qualifications
Prior experience working in higher education and alumni relations, including experience working with volunteer leaders, boards, and key stakeholders.
Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines required.
Demonstrated ability to strategize, implement, and build constituency programs and activities.
