The program coordinator is an integral team member in the Office of the Dean, Vanderbilt Peabody College of education and human development, and is the key individual responsible for administrative support in the Peabody Research Office and Peabody Office of Communications. The position broadly includes project management in support of efforts to expand external funding for faculty research and communication of research, faculty, and student news to key audiences. Specific responsibilities will include management of calendars, scheduling of meetings, and monitoring of workflows. The program coordinator also provides planning support and assistance with promotion of workshops and research colloquia to further Peabody's research and external communication missions. This individual also will manage list acquisition and maintenance, collection of information, and dissemination of funding opportunities and college news through digital emails.
About the Work Units
The Peabody Research Office works to encourage and expand the research conducted by faculty, research staff, and students by identifying and pursuing opportunities for internal or external funding, including the submission of grants, as well as through collection and analysis of data on research activities across the college. The Office of Communications is responsible for identifying and communicating news about the college to key constituencies, for developing and executing marketing strategies for graduate and professional student recruitment, and for supporting the college's leaders in delivering strategic messages. The Communications Office is also charged with developing, maintaining, and disseminating content for digital properties and social media.
Duties and Responsibilities
* Work directly with the Executive Associate Dean, Director of the Peabody Research Office, and Director of Communications to implement project management processes to meet deadlines and ensure success * Coordinate calendars and schedule meetings, including arranging remote meetings
* Collect information and prepare email newsletters for internal or external audiences; acquire and maintain accurate mailing lists, segmenting them as needed
* Transfer lists and troubleshoot problems across subaccounts in the college's email distribution tool (MyEmma)
* Assist with planning, promotion and execution of workshops and colloquia to highlight faculty research or promote career development * Develop and maintain databases and listservs to link faculty to research opportunities based on research interests and methodologies
* Support internal grant programs and other research opportunities through effective communications and management of the review process
* Assist with producing annual reports on research activity for internal and external audiences
* Audit all communications products and help establish a calendar for updating and refreshing print, video, or digital collateral on an annual basis
* Establish a calendar of annual faculty awards and nominations deadlines, compile resource files of prior nomination materials
* Work with staff to establish purchase orders, requisitions, or arrange payments and reimbursements to third parties
* Provide scheduling support and arrange for photography or videography of college faculty or events
* Update bio pages for college faculty and staff, as needed; maintain and update offices' web and intranet pages
Qualifications
A Bachelor's degree in a social science discipline (e.g., psychology, sociology, political science, education) or a relevant field, from an accredited institution of higher education, is required.
* At least 3 years of relevant experience is required
* Fluency in Microsoft Office software including Word, Excel, and PowerPoint is required
* Experience with database software, such as Microsoft Access, is preferred
* Experience with email marketing tools and web content management systems is preferred.
* Outstanding oral and written communication skills, including proofreading skills, are necessary
* Excellent organizational skills, attention to detail, a high level of accuracy, and the ability to prioritize in a fast-paced environment is required
* Strong interpersonal skills, flexibility, a collaborative spirit, and service orientation is required
* Must be able to work well independently and as part of a team.
* Ability to use independent judgement and to manage and impart confidential information is necessary.
* Experience working in a higher education setting is preferred
