The Harvard Graduate School of Education (HGSE) is seeking a Donor Engagement and Communications Coordinator to join our Development Office. Working closely with colleagues, faculty, and students on stewardship efforts, development planning, and communications, this position will help showcase and position HGSE to attract and maintain support for the mission and vision of the school and leadership.
This position will be responsible for all administrative coordination of the Donor Engagement and Communications (DeCom) branch of the Development Office and play a key role in the planning and support of activities and projects focused on stakeholder communications, engagement, and retention. As the principal administrative contact for the DeCom team, this position will act as the primary liaison for internal and external department constituencies; work independently with minimal supervision in a work environment with multiple and conflicting priorities; anticipate and resolve problems related to ongoing projects; and be responsible for onboarding new members of the Development team.
- Administrative and logistical support and project management for donor relations and development planning and communications.
- Assisting with tracking quality donor relations outreach material, including acknowledgment letters, emails, cards, newsletters, invitations, reminders, and confirmations.
- Researching, collecting, and preparing information for stewardship reports, briefings, promotional materials, one sheets, and other donor engagement collateral.
- Providing research support on various topics that inform donor communications, including trends across Harvard and other universities and related non-profits, evolving language and perspectives, faculty research and news, new programs, course development, etc.
- Creating a calendaring process that ensures gift officers are aware of events and happenings across campus that may be of interest to donors, alumni, and friends of HGSE.
- Coordinating with the Dean's Office and others on upcoming events and leadership activity.
- Overseeing projects with employees and vendors.
- Assisting with multimedia efforts, including video production, digital communications, and social media requests of other offices.
- Collaborating with MarCom and other departments to organize asset storage and management of photos, videos, proposals, reports, stories, and more.
- Serving as a liaison to donors, faculty, and students.
- Maintaining tracking documents, calendars, and email accounts for the DeCom team.
- Ensuring all DeCom activities are entered into the University-wide database.
- Assisting with budget compliance, tracking expenses and reimbursements for the DeCom team.
- Other duties and special projects as needed

- Minimum of three years of relevant experience is required.

- Bachelor's degree preferred.
- Previous experience in a higher education setting preferred.
- Experience with Donor Management Systems and photo and video editing software.
- Excellent interpersonal, written, and verbal communication skills, and the ability to represent HGSE professionally both internally and externally.
- Highly organized, detail oriented, and flexible with strong time management skills.
- Ability to prioritize and handle multiple tasks under deadline pressure.
- Proven project management skills.
- Ability to work independently with minimal supervision.
- Proficient in the use of Microsoft Office Word, Excel, PowerPoint, and Outlook.
