The Department of Health Systems and Population Health requires a full-time Recruitment and Marketing Specialist to work with Health Management and Informatics (HMI) to plan, write and edit communications, marketing, and promotional materials in support of student recruitment, admissions and alumni relations. This position develops the annual student recruitment and marketing plans for three graduate programs and advises on such activities for the undergraduate HIHIM program.
The position tracks interest and corresponds/meets with prospective applicants and partners with the program directors and UW Continuum College (UWC2) as well as with UW School of Public Health Communications and Advancement. Success in this position requires being an independent driver of ideas, creative thought partner, and relationship-builder, who can take the initiative in recruitment and marketing efforts for these degree programs, collaborating with program directors and other staff and with UWC2 to meet strategic goals. This position will work towards diversity, equity and inclusion goals within and for these programs and will be expected to know and contribute to the strategic goals of the HMI programs, the Department and the School of Public Health. The Recruitment & Marketing Specialist will report to the Sr. Associate Director for Operations and work as part of a team to support the Health Management and Informatics degree programs, e.g., Master of Health Administration (MHA), the Executive Master of Health Administration (EMHA) and the Master of Health Informatics and Health Information Management (MHIHIM) and the Health Informatics and Health Information Management bachelor’s (HIHIM) degree programs.

RESPONSIBILITIES:
Student Recruitment
•Identify and develop new markets— particularly for EMHA and MHIHIM — while continuing to develop and strengthen existing pipelines. •Develop and manage annual recruitment plans to promote HMI programs and working collaboratively with UWC2 and program faculty and staff to ensure coordination across efforts and alignment with strategic objectives •Respond to inquiries from prospective applicants, enter and track data, analyze and report on conversions •Collaborate with teams and programs across campus in support of recruitment and retention with attention to recruiting and retaining a diverse student population. •Plan and staff student recruitment activities including informational webinars and events for regional healthcare organizations •Represent programs at public events, career fairs, recruiting events, conferences •Coordinate individual and group visits from prospective students. •Develop and strengthen relationships and pipelines including those with undergraduate advisors on the UW Seattle, Bothell and Tacoma campuses to educate them about the HMI degree and admissions requirements •Work closely with undergraduate HIHIM staff and with other student recruitment staff in the Department and across the School of Public Health to optimize and coordinate recruitment activities •Energize and coordinate faculty, alumni and student involvement in recruitment efforts (internal and external) and manage student ambassador program •Manage MHA Program Visit Day including program format, agenda, event logistics, and faculty, alumni and student involvement •Coordinate alumni involvement in and provide supplemental support for the admissions process including coordinating alumni interviews of MHA applicants
Marketing / Program Promotion
•Collaborating with UWC2 and program leadership develop and implement marketing and promotional activities for HMI; integrate with the student recruitment activities •Write and maintain content for all four HMI program websites; work to maximize the potential for program websites as a marketing tool •Create promotional materials – presentations, displays, flyers and brochures, phone scripts, swag etc. and update annually as needed •Coordinate with SPH and HSPop recruitment and communications staff to ensure that School-level collateral and web information is optimized and accurate •Develop and manage a social media strategy that energizes our student, alumni and community base while being sustainable from a program staff perspective; generate content and manage use of promotional social and other media materials; collaborate with SPH colleagues regarding best practices •Engage proactively with faculty and staff to obtain information and leads on content creation, prioritizing communications of student projects, awards and presentations; generate student and alumni testimonials and profiles •Manage partnerships with outside organizations and ensure membership benefits are optimized (AUPHA, WSHA, WSHIMA, HIMSS, etc.) •Write content and coordinate dissemination of program news in annual reports and other relevant HMI, departmental, SPH and UW and external publications and communications •Generate and help elevate content for placement in publications to external audiences, such as the AUPHA Exchange, newsletters of local health care organizations, etc. •Represent all four HMI programs at monthly School of Public Health Communications Forum •Ensure appropriate use of UW and SPH branding and communications and style guides by program faculty, students and staff •Build relationships and act as liaison with professional health care associations and organizations locally, regionally and nationally, as well as with other relevant units on campus •Coordinate the collection and use of photos for program promotional purposes (newsletter, social media, web site, etc.), both in partnership with UWC2 and using the program’s own equipment
Alumni Relations •Work closely and directly with MHA program director to develop and support the MHA Alumni Association and the work of its board; participate in monthly MHA alumni board meetings •Plan MHA alumni events that provide educational and networking opportunities for alumni and the local health care community •Produce semi-annual alumni newsletter (including content generation, coordinating writing assignments for others, editing, image selection, laying into design, and distribution) •Develop and manage routine alumni surveys/questionnaires •Maintain alumni contact and employment information in available system
Other
•Participate in program fund development activities including liaising with SPH Advancement •Participate in data review and/or entry tasks, as needed •Coordinate and/or support staffing of other program/department/school-wide student events, as appropriate •Program strategic planning activities and other related duties as assigned
MINIMUM REQUIREMENTS:
•Bachelor’s Degree in Communications, Marketing, English or related field. •Three years of experience in student recruitment and program promotion, including proactive participation in the development and implementation of marketing and/or communications strategies and materials, with an eye towards building diversity
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
•Experience marketing to diverse student populations •Excellent organizational skills and ability to juggle multiple activities and complex projects while ensuring deadlines are met •Excellent interpersonal communication and collaboration skills, with an ability to work professionally, productively, and collegially with a broad range of individuals, from prospective and current students to faculty, academic leaders and colleagues, and professionals in the health management and informatics fields •Excellent writing and editing skills •Events coordination experience •Excellent public presentation skills •Strong eye for detail and high standards of accuracy •Experience with web-based conferencing/meeting technologies, particularly Zoom •High-level adeptness with the MS Office Suite (Word, Excel, PowerPoint, Outlook, Access)
DESIRED:
•Experience with UW systems such as Marketo, Convio, Advance and MyGrad. •Experience in alumni relations. •Experience working with marketing analytics and admissions data. •Experience building and supporting social media campaigns •Experience with fundraising.
WORKING CONDITIONS:
This position functions in a deadline-drive environment and work outside of typical work hours may be required at critical times. This position will work on-site at the University of Washington’s Seattle campus. A hybrid work arrangement may be available, meaning that remote work may be possible for a day or more per week, depending on business needs, on an ongoing basis. The position requires off-site travel , sometimes overnight, to recruitment events and conferences, several times per year. Most travel is during Autumn and Spring quarter, and can be shared with team members as relevant or needed. When available, remote participation in conferences may be an acceptable alternative.
