The Department of City and Regional Planning is an interdisciplinary field seeking to shape the socio-spatial evolution of neighborhoods, cities and regions by empowering social actors to envision, plan, and shape better futures. At DCRP, we incorporate interdisciplinary ideas and methods, from political science to anthropology to engineering, while we nurture a planning sensibility in our students: a willingness to confront tough challenges, utilize innovative planning and design techniques, and embrace normative goals. At the graduate level, we offer a Master of City Planning (a two-year professional degree), with a variety of concentrations, and a Ph.D. in city and regional planning.
This is a critical position in the department as it supports multiple functions and constituents. Most work is done independently under the supervision of the department manager, coordinating with the department Chair, faculty, staff, curriculum committees, Office of the Registrar, COCI, ERSO, visitors, and vendors. The position is responsible for successful course scheduling for fall, spring, and summer terms, including space reservations and coordination of curriculum and faculty. Responsibility for event planning and management, as well as visitor services and general office administration. The position handles certain website updates. Tasks may involve handling confidential information.

Responsibilities
35% Academic Course Scheduling and Management:
- Responsible for creating a viable academic course schedule, including instructor and room assignments for each semester in accordance with University timelines.
- Consults with the Chair and MSO on the need for lecturers and GSIs, as well as summer course instructors; consults with program committee Chairs on special needs for courses and coordinates ordering of course textbooks and readers.
- Schedules all courses in Campus Solutions SIS; manages course enrollments, waitlists, and course restrictions.
- Maintains all course materials, i.e. course descriptions and syllabi; posts course descriptions for students on departmental bulletin board and ensures their posting on the web.
- Works with Graduate Student Affairs Officers and Undergraduate Program Advisor, as well as the CED Undergraduate Office staff and Urban Studies Major faculty to provide information on courses and policy, particularly on any changes.
- Advises faculty on the midterm and final grade deadlines; manages the submission and processing of grades; maintains final course reports for the Department.
- Advises faculty and students on University policies on grade changes; processes all grade changes.
- Acts as a liaison between the Office of the Registrar and the Department on all matters regarding grades.
- Responsible for management of course evaluations for the Department; prepares, compiles, and tabulates all course evaluations and departmental averages by semester.
- Maintains excel files on course evaluations; prepares departmental reports on evaluations by faculty and submits them to the Chair and the MSO for review.
- Manages the nomination process for Outstanding GSIs and serves as liaison with GSI Teaching & Resource Center.
35% Administrative Duties:
- Serves as the initial point of contact for visitors to the department; handles routine queries from faculty, students, staff, and visitors; answers the main department telephone and email queries. Assists in ensuring that daily office operations run smoothly.
- Serves as key coordinator for the department and keeps records.
- Assists Department Chair with routine departmental correspondence, calendaring, and special projects as needed.
- Serves as safety coordinator for the department on the CED safety committee. Reports broken equipment etc. to the building facilities manager and MSO and coordinates copier repairs and allocation of access codes.
- Keeps inventory and purchases office supplies for the department; manages vendor payments, including honoraria, and prepares purchase order requests.
- Assists in editing and preparing the final copy of departmental news, curriculum statements, etc., and updates the departmental website as needed or coordinates with web development staff.
- Collects, updates, and edits materials for the department's accreditation and program reviews as requested.
- May establish and keep up a social media network for DCRP, using LinkedIn, Facebook, or other, to communicate with prospective students, alumni, and potential donors. Collaborates with affiliated CED and campus units as appropriate.
- May supervise work-study student(s).
15% Event Management
- Organizes various departmental and college events, independently and in coordination with other staff; makes suggestions for venues and communicates with outside vendors; manages event budgets, arrangements, accounts payables, honoraria, and reimbursements; corresponds with participants as needed.
- Arranges travel and hotel accommodations for departmental visitors.
- Keeps a departmental schedule of events; creates and makes announcements on events to the department, college, and alumni lists and social media sites.
- Coordinates room/space scheduling for events.
10% Curriculum Planning:
- Maintains a multi-year teaching matrix, based on courses taught and faculty assignments.
- Serves as a liaison between the Committee on Courses of Instruction (COCI) of the Academic Senate and the Department.
- Coordinates curriculum revisions and updates with program committees, Chair and MSO.
- Manages the course approval process for the Department; advises Chair and faculty on COCI policies and processes; prepares course approvals and course changes for approval by the Chair and the Dean of the College; shepherds course approvals through COCI.
- Updates and edits all course changes in printed materials and online program statements (program statements, CED Announcement, General Catalog) for the Department, the College, and the University.
5% Professional Development:
- Takes classes and workshops that will enhance expertise in professional areas of interest and growth.
- Participate in university service activities.
Required Qualifications
- Excellent computer skills, including use of Microsoft Office Suite and Google Suite.
- Proficiency with or capability to quickly learn multiple UC programs.
- Excellent communication skills, both written and verbal.
- Analytical and problem solving skills.
- Superb customer service orientation.
- Ability and willingness to work independently as well as collaborate with a team to produce the best results for the organization.
- Ability to work on multiple time lines simultaneously.

- Timeliness and accuracy.
- Bachelor's degree in related area and/or equivalent experience or training.
Preferred Qualifications
- Computer-based design programs.
- Ability to work with websites.
- Training in FERPA and UC systems and policies related to course scheduling, event planning, reimbursements, and course scheduling.
