Events Manager & Communications Coordinator
Columbia Grammar and Preparatory School is seeking a strategic partner to join an ever-growing and dynamic advancement team. The incoming events and communications coordinator will take the lead, while working closely with the entire advancement team and several volunteer parent committees, in planning and executing a series of fundraising events culminating in the annual spring benefit. In any given year, the advancement office will host five to seven smaller cocktail party events with the main focus being the spring benefit in March. The events coordinator will also work closely with the alumni outreach officer on the yearly alumni reunion in May. The other key aspect to this position is working with the communications manager on all aspects of school marketing, branding, social media, photography, video and messaging. Further, assisting in weekly newsletters and the School magazine will provide opportunities to get to know the School and community in a more meaningful and insightful way which will assist in all aspects of both parts of the job. Note: There will be times when this position will be heavily focused on events (December to March) and other times when it will be more centered on communications. Once hired, we will work on a yearly calendar to fairly and smartly balance the time.

Key Responsibilities
Events Manager:
- Working with the director of advancement, the advancement team and various parent committees - plan, manage and execute the yearly CGPS benefit.
- Held at a prominent NYC venue in March, the annual fundraising/silent auction benefit plays host to over 700 CGPS families and community members for an evening of entertainment, cocktails and appetizers, and good cheer. This is the seminal yearly advancement event with great support from the CGPS administration, parent association and volunteer committees.
- Parent/Alumni receptions:
- Plan and execute all parent receptions (assist with alumni receptions working with the alumni outreach officer). Receptions include: New parent, stewardship, donor and board gatherings. Several of these smaller events take place on campus.
- Establish relationships with a variety of vendors for various events.
- Support the advancement team in all efforts to increase engagement and satisfaction in all CGPS advancement driven events.
- Work closely with the director of advancement and advancement team on establishing parent/alumni event committees.
- Bring creative and innovative event/party/gathering/reunion ideas to the table each year - - while also maintaining an annual budget.
Communications Coordinator:
- Assist in all aspects of school media:
- Cover a variety of school events and activities providing photography, video and other content for the community newsletter, social media posts, website, school magazine, etc.
- Assist with the writing of website news stories, newsletter messages and magazine articles.
- Assist in creating and posting engaging content on various CGPS social media channels.
- Establish relationships with faculty and staff in each division in order to create content on various class/school projects and activities.
- Work with the communications manager and advancement team on keeping a weekly/monthly/yearly communications calendar.
- Work with the CGPS alumni office to garner content from alumni: success stories, magazine articles and event coverage.

Ideal Qualifications:
- Bachelor’s degree.
- Experience running events: cocktail parties, auctions, etc.
- Experience with DSLR photography and videography or a willingness to learn.
- Familiarity with Photoshop, Premiere Pro, Canva, MailChimp and Google Workspace (preferred).
- Proficiency with social media platforms, specifically Instagram, Facebook, LinkedIn and Twitter.
- Willingness to learn/be trained in using a range of software packages.
- Willingness to be part of a team supporting all school efforts toward fundraising, alumni relations and events.
- Being a positive, friendly and welcoming presence to all office visitors: staff, faculty, students, parents, alumni, etc. is paramount.
- Must love working with students and faculty and in an open, welcoming and vibrant community.
- Excellent written and verbal communication skills.
- Willingness to work nights and weekends as required.
