• Responsible for managing and facilitating events for both on and off-campus, both in-person and virtually;
• Ensure proper setup for events and other activities – setup includes but not limited to: furnishings (table, chairs, podiums, staging, pipe & drape skirting, etc.), advertising materials (banners, easels, signs, etc.), and aesthetics (cleanliness, blinds/shades adjusted, lighting adjusted, client access);
• Secure space, and provide project management, logistic, and administrative services as needed for meetings, workshops, seminars, presentations, and conferences;
• Work with Mason and external groups to fulfill event needs such as catering, transportation, facilities management, and more;
• Coordinate, facilitate and lead virtual events, webinars and meetings using video conferencing platforms such as Zoom and Teams. Understand how to organize breakout rooms, recordings, and facilitate Q&As for those meetings. Investigate other video conferencing platforms, as needed, for larger events;
• Design print and electronic marketing materials such as brochures, flyers and postcards, email graphics, social media graphics, or logos in support of events;
• Maintain a dashboard that clearly demonstrates project progress and deliverable timelines;
• Work collaboratively with all necessary university staff, students, vendors, partners, etc.;
• Additional tasks may include drafting/coordinating the distribution of marketing materials, and assisting with event outreach activities;
• Update content on CHSS webpages and Anthology registration pages; and
• Designing, developing, and executing special projects as assigned.

• Bachelor's degree or equivalent combination of relevant education and experience;
• Experience in events management, ideally in a higher education setting;
• Experience in a variety of areas to include house management, facilities/contractor coordination, event planning and a strong administrative skill set;
• Demonstrated analytical and project management skills, preferably related to fundraising goals;
• Demonstrated, effective interpersonal and communication skills to work effectively with donors, volunteers and faculty members;
• Ability to analyze and solve problems with minimal supervision;
• Ability to organize, facilitate and lead video conference meetings, webinars, and other events;
• Ability to work in a fast-paced, team-oriented environment;
• Ability to identify and forecast operational needs and manage operations;
• Ability to set goals, multi-task, prioritize tasks and meet deadlines;
• Ability to communicate effectively with faculty, staff, and administrators across multiple disciplines and administrative offices; and
• Ability to work well with co-workers and diverse faculty.

• Knowledge of Mason event applications and operational needs in university academic buildings;
• Knowledge of university policies and procedures;
• Familiarity with University scheduling applications (25Live; calendar/scheduling) and events management;
• Familiarity with Teams, Zoom, and other video conference platforms;
• Advanced skills with Word, Excel, Outlook, PowerPoint, and Canva; and
• Ability to manage an event/project from conception through execution to include all aspects of project and volunteer management.
