The Regis School is seeking energetic, highly motivated candidates for the position of Advancement Associate.
The Advancement Associate will provide administrative and support services to the Director of Advancement, the Assistant Director and volunteers as needed. This position is integrally involved with all fundraising activities and is a key link in the success of the annual fund. A team approach to Advancement efforts, with an occasional all-hands-on-deck commitment to a variety of boys’ school-specific activities is imperative.

Duties and Responsibilities
Coordinate the various mailings, lists and reports for the annual fund
Enter and maintain gift records in donor database, ensuring accurate entry and maintenance of information, including existing and prospective donors.
Prepare acknowledgement letters in a timely fashion.
Prepare and track statements for donor pledges and send pledge reminders as needed.
Manage matching gift submissions and follow-up.
Create and manage spreadsheets as needed to manage gift tracking, event support, event attendance and alumni data, including academic and career progression.
Implement office procedures according to instructions from the Director of Advancement.
Coordinate all donor correspondence for the Director of Advancement.
Prepare reports and presentations for the Director of Advancement and the Assistant Director, including weekly and monthly gift reports, meeting agendas, minutes and financial updates to volunteer leadership. Ensure all materials are accurate and carefully proofread for errors.
Coordinate publications, fliers, signage and website/weekly news submissions.
Support advancement and school events as requested by the Director of Advancement, Assistant Director and Head of School.
Prepare expense reports and organize invoice approvals for signature.
Generate accurate and timely mailing lists, and manage mailings, including mail merges of letters, forms and envelopes.
Provide support staff services to committees as assigned.
Order print materials, office equipment and supplies as needed.
Establish and maintain donor files.
Assist in the preparation of grant proposals. Maintain records relative to submission/declination/acceptance of all grants.
Prepare and finalize professional correspondence and thank you letters.
Proofread and edit documents.
Assist in effective interfacing with all volunteers, displaying courtesy and helpfulness as part of representing the school.
Safeguard the confidentiality of donor information at all times; respecting the rights of students, parents, donors, peers and the school community.
Support and implement the philosophy and mission of Sacred Heart education and The Regis School of the Sacred Heart.
Serve as a positive role model for students and the school community.
Actively participate in nurturing spiritual growth within the community, particularly modeling the Sacred Heart Goals and Criteria.
Maintain professional standards, adhere to a professional code of ethical conduct and attend continuing education workshops and seminars.
Maintain a professional attitude, appearance and manner, which strengthens respect for The Regis School of the Sacred Heart.
Demonstrate positive interpersonal skills in working with students, parents, peers and the larger community.
Accept willingly any reasonable special assignment and be receptive to making suggestions for improvements that reflect initiative and creativity.
Qualification, Education, and Experience
Minimum of five years administrative experience, which includes demonstrated proficiency in Microsoft Office Suite, including Word, PowerPoint and Excel. Experience with donor database systems highly preferred. Working knowledge of social media platforms. Non-profit experience, particularly in an educational setting, highly preferred.
Bachelor’s degree from an accredited college or university.
Excellent written and verbal communication skills. Demonstrated business writing proficiency, including grammar, punctuation and editing. Ability to convey complex information in a concise and clear written manner.
Must adhere to the Association of Fundraising Professionals Code of Ethical Principles and Standards of Professional Practice.
Can demonstrate excellent organizational skills, multi-tasking and effective use of time; also able to handle and complete multiple tasks or projects with multiple deadlines.
Ability to deal professionally, courteously and efficiently with the public and all levels of the school.
Can demonstrate effective customer relations skills working with diverse populations, often in stressful, fast-paced environments.
Background check, references and completion of CMG Safe Haven Training required.
