Job Summary
Rhode Island School of Design (RISD) seeks a Social Media Coordinator & Aux. Admin. Assistant for the Auxiliary Services department. This is an exciting opportunity to play a key role in the department responsible for delivering an exceptional campus experience for students through the provision of high quality auxiliary services, including dining, events, and retail. The Social Media Coordinator & Aux. Admin. Assistant manages the department's social media presence, as well as other promotional materials, and regularly reviews Auxiliary Services presence and updates information on RISD web-based platforms to ensure accurate and timely information. This role is also responsible for performing a variety of administrative support functions to ensure the smooth and efficient operation of the Office of the Executive Director of Auxiliary Services, including the coordination of Auxiliary Services' existing and future philanthropic activities. Serving as the central point of contact and liaison for internal and external inquiries, this position provides exceptional customer service and hospitality to the diverse student and professional population.
The successful candidate will serve as a contributing member of a team that is sensitive, flexible, and open-minded when dealing with different cultures (e.g., values, beliefs, perspectives, customs) through daily actions and work to support and accommodate a diversity of people, opinions, cultures, and ideas.
Essential Functions/Duties:
Manages social media accounts and initiatives by efficiently producing creative content for events and dissemination of campus-wide news and updates representative of an Art & Design community; applying social media standards, policies, and procedures for Dining Services; maintaining an up-to-date and relevant presence on all platforms responding to inquiries, comments, and general engagement. Serves as back up for other Aux. areas social media and digital assets as needed.
Design creative content including poster designs, location signage, promotional materials, and infographics and distribute. Reviews and edits content provided by others.
Actively engages in philanthropic endeavors which may include: coordinate dining services operational involvement in the Student Food Pantry. Responds to FLIPS inquiries, up-dates FLIPS info site and request form, arranges logistics associated with viewing and placement of FLIPS inventory. Co-chairs the year end clothing drive and sale. Create any associated student job listings and assist in the hiring process.
Proactively manage the Executive Directors' calendars by scheduling meetings, inviting appropriate attendees, and anticipating, preparing, and securing the necessary materials and equipment to help ensure these meetings are smooth, efficient, and effective.
Provide back-up administrative support to other Auxiliary administrators and manager teams as needed. Schedules group meetings, takes minutes and maintains shared folders. Coordinate logistics, gather and prepare materials for departmental presentations and training. Creates related training materials in association with OPUS training platform for subjects identified by managers.
Make travel arrangements as requested and prepare associated expense reports in work-day.
Order and store supplies and materials for administrative needs. Put in work orders as requested.
Greet students, faculty, vendors, and visitors in person, by phone, email, or through social media posts and messages, answer a wide variety of both routine and non-routine inquiries. Respond to telephone, email and personal inquiries to the Executive Director's office in a timely manner and with a high degree of professionalism; understand, interpret and apply institution wide policies and procedures in response to inquiries and follow-up or escalate as appropriate.
Maintain and update web presence, working with Media Group to ensure areas are accurately represented. Keeping up-to-date information available on RISD sites and platforms where Dining Services appears and other Auxiliary Services areas as needed.
Required Knowledge/Skills/Experience:
Ability to interpret and prioritize requests for information and follow up, and to redirect or escalate as needed.
A positive attitude and the ability to relate well to diverse populations and to help foster a community environment.
Previous experience managing and maintaining electronic calendars and filtering requests for Executive Director's and other management-level positions.
Requires sound judgment and the ability to act in the best interest of the Executive Director and the College.
High level of functionality in the use of Microsoft Office and Google Suite; proficiency in Adobe graphic design software and tools, Apple systems, and or other related platforms associated with social media.
Excellent organizational skills, interpersonal skills, and verbal and written communication skills. Demonstrated ability to work independently and as part of a team.
Demonstrated ability to work in a high impact, deadline-oriented environment where a high degree of professionalism, confidentiality, and initiative, attention to detail, accuracy and ability to work on multiple projects simultaneously is required.
Ability to proofread documents required. An aptitude for and interest in learning/utilizing new technologies.
The ideal candidate will have a background in food service operations and customer service with the ability to apply these skills in supporting the Auxiliary and Dining Services staff.
Three (3) years of previous administrative experience, and at least one (1) year of experience coordinating and developing social media campaigns.
Bachelor's degree or equivalent combination of education and experience.
