Position Summary:
The Department of Chemistry at Rice University is seeking a seminar and events coordinator to organize, plan, and execute seminars and departmental events. This incumbent is responsible for extensive scheduling, coordinating logistics, registration and attendee tracking, presentation and event support. In addition, the incumbent is responsible for updating the department website and posting news and important events to social media.

Workplace Requirements - This position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. Per Rice policy 440, work arrangements may be subject to change. The incumbent must work full-time on campus during the first six months probation period, after which the position allows for one remote working day, provided there are no events and seminars on this day.
Hiring Range: $42,500 - $50,500 annually. This position is an Exempt position under FLSA and is not eligible for overtime.
Minimum Requirements:
- Bachelor's Degree
- In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
- 1+ years of related experience

- Working knowledge of basic Audio/Visual event components or ability to identify and collaborate with appropriate related vendors
Essential Functions:
- Designs, plans, implements, and coordinates seminars and events
- Evaluates and selects vendors and providers of services according to stakeholder requests and requirements
- Coordinates all accounting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and account transfers
- Serves as a member of an events team and contributes to a wide variety of functional areas, including budgeting and event logistics
- Consults with stakeholders to determine objectives and requirements
- Inspects event facilities to ensure they conform to requirements
- Runs database lists and communicates registration status, reports, and data
- Performs all other duties as assigned
Additional Functions
- Coordinates the logistics for the Department of Chemistry scientific lecture program
- Coordinates the logistics for the Chemistry faculty candidate visits
- Prepares schedules and agendas for seminar speakers and faculty candidates
- Organizes and manages departmental events, which may include scientific workshops and symposiums
- Communicates extensively with lecturers, faculty candidates, department members and external community
- Edits and maintains department website
- Creates content for website and social media sites, including posting to social media sites
- Manages and creates content for several screen displays in the department
- Prepares Department of Chemistry newsletter for distribution to alumni
- Supports special departmental and faculty projects
