The Design Division at the California College of the Arts hosts 6 undergraduate programs in fashion, furniture, graphic design, illustration, industrial design, and interaction design; and 3 graduate programs in MFA design, design strategy MBA, and interaction design MDes. CCA's Design Division is a sanctuary for risk-taking, where wonder and imagination are amplified through rigor and craft. We equip makers, thinkers, and doers with the wherewithal to envision alternative futures, and the creative capacity to deliver inspired generative solutions.
This division is one of four academic divisions in the college and is part of Academic Affairs. The staff in each division work collaboratively to address operational/curricular challenges that impact all Academic Affairs administration.
The Divisional Operations/Project Manager (DOM) will coordinate and oversee divisional projects that relate to the visibility of our division and the 9 design programs. The purpose of the DOM is to work in close partnership with the Dean and Director of the Design Division to facilitate new and existing experiences that bring together our students, faculty, external industry partners, and community.
The person in this role will have a demonstrated capacity to effectively manage multiple projects simultaneously. This position will collaborate with the Assistant Director of Design, Senior Manager of Academic Programs, and Design Program Managers, to ensure the timely delivery of divisional information and original content to our internal community and our college partners in Marketing and Communications, Advancement, and technology team. This position will bring creativity and expertise towards simplifying systems and streamlining processes, as part of building successful workflows.
As the point person coordinating public relations for the Design Division, the responsibilities will include supporting the Division's visibility through web and social media platforms and public engagements: Maintaining and increasing Instagram and user base; producing/designing quarterly divisional newsletters in Mailchimp, and partnering with our in-house faculty writers, copyeditors, and the web publication team to oversee the production of visually dynamic news stories each year. They will oversee the production of design work used to promote scholarships, the Design Lecture Series, and other divisional projects.
Maintaining and building relationships with our industry partnerships at CCA is important as it provides unique opportunities for students to gain professional experience and mentorship from a variety of companies around a shared idea or topic of interest. The DOM will play a key role in the administration of these project engagements with Industry Partners. As the project manager, this role will collaborate with faculty leads and staff across our Advancement office, Business Services Offices (BSO), and Academic Affairs to ensure the successful implementation and tracking of each project and its budget.
MINIMUM REQUIREMENTS:Public Relations Management & External Partnership Projects - 25% of time- Lead the logistics, planning, and marketing of divisional public events such as semester-wide lecture series
- Maintain and increase divisional social media presence and outreach
- Oversee editorial content production for the quarterly divisional newsletter
- Plan, coordinate, and host Zoom Design Lecture Series Webinars in partnership with program managers.
- Assign visibility projects to divisional teams, program chairs, faculty, and monitor deadlines.
- Collaborate with the advancement department and provides support to the Dean in securing industry partnerships.
- Act as key coordinator between design programs and external industry partners on active sponsored projects
Budget Management & Purchasing - 20% of time- Build, manage, and track special project budgets and provide regular budget reports to project lead(s), Dean, and Director.
- Ensure all spending is in line with the project contract, and work with the Advancement office as needed prior to the project deadline.
- Process purchase requisitions for materials, supplies, vendors, independent contractors, catering, speaker fees, and student payments/reimbursements in alignment with college policies.
- Use best practices to liaise with other college offices and support services.
Faculty & Student Engagement - 20% of time- Support student success with sponsored studio projects through proper and timely procurement of materials and supplies.
- Collaborate with faculty leads to plan and execute sponsored studio engagements between industry partners and the sponsored studio class(es) (i.e.: reviews and critiques)
- Attend curricular activities when necessary for the administration of sponsored studio projects
- Meet with the faculty lead to discuss the needs of the project, provide budget updates, and maintain budget requirements
Logistics and Planning - 20% of time- Lead or assist in logistical planning and implementation for project-related engagements including Design Sprints, Workshops, and Public Events.
- Event management outside of regular working hours (9-5 pm) will be required
- Make space reservations on and off-campus for presentations, meetings, or events.
- Use best practices to liaise with other college offices and support services.
Support General Divisional Administration - 15% of time- Generate systems for collecting and organizing data
- Maintain and track the divisional content calendar and monitor deadlines.
- Primary liaison for projects with internal and external designers
- Support dean and division communications with the design community
- Meet regularly with Dean, Director, and project leads to provide project updates
- Supervise student workers
- Other administrative duties as assigned
MINIMUM QUALIFICATIONS:- Bachelor's Degree, or equivalent experience
- 1+ years experience in project and budget management
- Excellent communication / interpersonal skills
- Strong attention to detail
- Good at prioritizing tasks and meeting various deadlines
- Demonstrated professional and organizational skills
- Embrace working in a diverse community of staff, faculty, and students
- Proficiency in: Google Suite, Instagram, MailChimp, MS Word, Excel
- Experience with Content Management Systems
- Capacity to learn Workday, an ERP software, and Zoom Webinar Hosting
- Ability to handle sensitive, confidential matters with discretion
- Ability to give constructive feedback
- Be able to work nights, weekends, and off-site locations to support events as needed
Preferred Qualifications:
- 2+ Years experience in project and budget management
- Knowledge of Adobe Suite
- Experience with MailChimp, Workday, and Airtable
Working Conditions:
This position is a hybrid position with some remote and San Francisco campus activity.
CCA is normally open for business 8 a.m.-4:30 p.m., Monday through Friday. Supervisors assign individual work schedules, and all employees are expected to arrive on time and be ready for work at the start of their scheduled shift. Shifts generally start between 8 a.m. and 9 a.m. but may shift to accommodate events, special projects, meetings, etc., and are subject to change based on the needs of the program(s) and College. This position requires occasional work during evenings and weekends.
Physical Requirements:
This position may require an individual to sit or stand for long periods at a time (up to 4 hours) at a desk or in a meeting. This position requires that individuals be able to transport themselves to multiple locations within the SF or Oakland campuses, or sometimes between both campuses. An individual must also be able to lift and/or carry a minimum of 30 pounds.
COMPENSATION & BENEFITS:- The range for the position is $32 - $33 per hour.

CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. WORK SCHEDULE:- CCA considers a full-time work week to be 37.5 hours per week.
